    Description

    We are seeking a highly organized and detail-oriented **Executive Assistant** to provide comprehensive support to the **Global Payroll and Corporate Travel teams** . This role goes beyond traditional administrative support and requires collaboration with international payroll, finance, tax, and travel operations. The ideal candidate will be resourceful, proactive, and capable of managing confidential and sensitive information with discretion.

    Key Responsibilities:

    Administrative & Operational Support

    + Manage calendars, schedule meetings, coordinate logistics, and prepare agendas and meeting materials (e.g., notes, presentations).

    + Handle travel arrangements (domestic and international) including itineraries, visa requirements, and compliance tracking.

    + Support onboarding and offboarding activities for team members (e.g., equipment setup, access provisioning, coordination with HR and IT).

    + Draft, edit, and review internal communications, announcements, and documents for clarity and accuracy.

    Payroll & Tax Support

    + Facilitate **Certificate of Coverage** applications for U.S.-based employees going on international assignments and/or business travel.

    + Assist with updating employee tax records based on instructions from the company’s tax vendor.

    + Support the management of **Tax Equalization receivables** by tracking employee payments and ensuring proper crediting and allocation with the CashApps team.

    + Track employee signatures for Tax Equalization policies and procedures to ensure compliance.

    Finance & Procurement Support

    + Process tax-related invoices through the **Non-Purchase Order (NPO)** and **Standard Purchase Order (SPO)** systems, and coordinate payments via Accounts Payable.

    + Maintain and update the monthly **tax payment log** for use in **Power BI** dashboards.

    + Coordinate with the **Vendor Master team** to set up new vendors for payment processing.

    + Partner with **program managers** and **finance leads** to validate project numbers and ensure accurate processing of vendor invoices.

    Required Qualifications:

    + High School Diploma and 3+ years of experience in an Executive Assistant, Administrative Coordinator, or similar role. Bachelor’s degree is highly preferred.

    + Experience supporting finance, payroll, or global operations teams is highly desirable.

    + Strong organizational skills and attention to detail.

    + Excellent verbal and written communication skills.

    + Ability to manage multiple priorities in a fast-paced, global environment.

    + Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, One Note); experience with Power BI and procurement platforms (e.g., Ariba, SAP, Oracle) is a plus.

    + Ability to handle confidential and sensitive information with professionalism and discretion.

    + Self-motivated, proactive, and able to work independently with minimal supervision.

    + Able to work occasional overtime or flexible hours to support global time zones.

    + US citizenship is required and able to obtain security clearance as needed.

    Pay Range:

    Pay Range $55,250.00 - $99,875.00
