Job Summary and Qualifications
Job Summary: Primary Purpose of the job
The Vendor Relationship Analyst supports execution of the ITG Outsourcing strategy by owning the day-to-day coordination of labor vendors across one or more business units (such as Parallon, HealthTrust, DT&I) and capability domains including Application Development, Support, Data/AI-ML, and Product Engineering.
This role ensures operational alignment between vendor delivery teams and HCA stakeholders, driving accuracy in intake processes, documentation, and tracking of vendor performance. The Vendor Relationship Analyst works on ServiceNow-based requisition workflows, contract documentation, and vendor communications while ensuring adherence to governance processes.
This role works under the direction of the Program Director and collaborates with HealthTrust Workforce Solutions (HWS)—HCA’s VMS partner—to ensure intake, compliance, and operational governance activities are effectively executed.
The position requires strong attention to detail, coordination skills, and the ability to work across multiple systems and teams in parallel, including vendor partners, HWS, business owners, project managers, procurement, and legal teams. Proficiency in Microsoft Excel and the ability to learn enterprise tools (e.g., SharePoint, Conga, WF2.0) is required. Familiarity with sourcing processes and healthcare IT delivery environments is preferred.
Responsibilities:
Vendor Coordination and Relationship Support
Serve as the daily point of contact for assigned vendor delivery teams and HCA business unit stakeholders. Track delivery progress, escalate issues, maintain documentation, and ensure smooth communication across all stakeholders involved in vendor-supported work.
Intake and ServiceNow Workflow Management
Initiate, track, and manage ServiceNow-based requisitions and approvals related to vendor labor. Ensure correct routing and documentation through the intake process. Collaborate with HWS and business requestors to resolve workflow issues and ensure timely processing.
Contract Administration Support
Support the creation, routing, and maintenance of SOWs, renewals, and amendments in collaboration with the Program director, procurement, and legal teams. Ensure contract documentation is accurate, timely, and compliant with HCA standards.
Vendor Performance and Compliance Tracking
Assist in monitoring vendor delivery performance against agreed metrics. Collect updates, participate in vendor meetings, and ensure documentation and compliance artifacts are maintained in governance records.
Tool and Documentation Management
Use internal tools (e.g., SharePoint, Conga, WF2.0) to organize vendor records, workflows, and contract documentation. Ensure audit-readiness by maintaining version control and accurate metadata for vendor files.
Cross-Functional Collaboration and Communication
Coordinate with internal HCA teams, vendor contacts, and HWS partners to ensure clear and timely communication. Help resolve issues, support internal stakeholder questions, and maintain vendor engagement consistency.
Process Feedback and Knowledge Sharing
Provide input to improve vendor engagement workflows, intake processes, and documentation standards. Support training or information sessions led by the manager and share best practices with peers and business partners.
EDUCATION
Bachelor’s degree required
EXPERIENCE
Qualified candidates must have 5+ years of relevant work experience required
Other Qualifications:
This position requires superior judgment, high ethical standards and a strong attention to detail. Must have the ability to work effectively and efficiently on multiple tasks in parallel, while meeting deadlines and maintaining high quality standards.
Advanced knowledge and understanding of reporting and analytics tools and methodologies is required. Must be comfortable with Microsoft Office products and able to learn and utilize new technology resources as required.
This job is a largely sedentary role operating in a typical office setting, routinely using standard office equipment such as computers and phones and requiring speaking, hearing, fine motor dexterity.
