    The College of Dentistry is looking for a Program Coordinator I to serve in the Comprehensive Dentistry's Advanced Education Department.  We desire an individual who subscribes to and supports our commitment as stated above.     Proposed Salary: $4,333.34 monthly

     

    Work Schedule/Location: Located in Dallas, TX, this an on-site role with a typical schedule of Monday – Friday 8am to 5pm.

    Qualifications

    Required Education and Experience

    + Bachelor’s degree or equivalent combination of education and experience.

    + Two years of related experience in program coordination.

    Preferred Qualifications

    + Professional experience in higher education.

    + Experience managing data records.

    + Experience in a dental office or related dentistry setting.

    + Ability to organize and prioritize work activities.

    + Experience planning and coordinating events.

    + Experience using Microsoft Office Suite software.

    + Experience administratively supporting a public health, health education, higher education, and/or programming unit.

    Knowledge, Skills, and Abilities

    + Demonstrated proficiency in Microsoft Office applications, including Outlook, Excel, and Word, with the ability to effectively manage communications, data, and documentation.

    + Ability to multitask and work cooperatively with others.

    Responsibilities

    + Program Support: Provides primary administrative support for the AEGD program, including managing correspondence, maintaining calendars and the website, and responding to inquiries. Acts as the main point of contact for applicants and students, disseminating program information, processing admissions decisions, and coordinating with relevant offices. Supports the Program Director in recruitment and admissions by coordinating interviews, assisting with application logistics, and helping students with registration. Assists Program Director with updates to AEGD program course syllabi and the production of materials designed for the residency program. Provides consistent, constructive feedback aimed at optimizing the program. Manages confidential residency program records, including student and faculty files and absence tracking. Serves as liaison with university graduate offices and supports students in navigating program policies and procedures. Plans and implements program events such as conferences, seminars, lectures, meetings and workshops and assists in their evaluation. Attends educational and administration meetings as assigned and provide the minutes in a timely manner. Helps proctor exams and enters grades as necessary.

    + Financial/Record Keeping: Processes travel reimbursements for residents and the Program Director. Verifies and processes AEGD invoices, communicates with vendors on discrepancies, and ensures timely payments. Manages purchases, maintains supply inventory, and coordinates with department administrators on financial matters. Monitors budgetary spending and reconciles program accounts as needed, in partnership with Senior Department Administrator. Provides logistical and administrative support for events, projects, and faculty/resident travel. Maintains departmental inventory, conducts annual verifications, and coordinates equipment disposal.

    + Clinical Support: Coordinates workflow and communication between academic and clinical areas. Manages procurement of clinical and office supplies; assists with surgical and implant inventory. Monitors Axium for accurate documentation, charges, and payments. Maintains and updates the AEGD clinic operational manual. Collaborates with the Program Director to enhance clinical operations. May supervise program staff.
