    The College of Dentistry is looking for a Senior Administrative Coordinator I to serve in the Comprehensive Dentistry department.  We desire an individual who subscribes to and supports our commitment as stated above.     Proposed Salary: $5,083.34 monthly

     

    Work Schedule/Location: Located in Dallas, TX, this an on-site role with a typical schedule of Monday – Friday 8am to 5pm.

    Qualifications

    Required Education and Experience

    + Bachelor’s degree in applicable field or equivalent combination of education and experience.

    + Six years of experience in office administration.

    Preferred Qualifications

    + Professional experience invoicing and paying bills.

    + Professional experience in higher education.

    + Scheduling and meeting/event coordination.

    + Strong technical/business writing skills.

    + Office administration experience in higher education, particularly working with upper-level management.

    + Ability to work with sensitive information and maintain confidentiality.

    + Experience with AggieBuy, Concur, and Workday.

    Knowledge, Skills, and Abilities

    + Knowledge of word processing, spreadsheet, database and presentation applications.

    + Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgement and initiative.

    + Ability to multitask and work cooperatively with others.

    + Interpersonal and communication skills.

    + Planning and organization skills.

    Responsibilities

    + Office Administration: Provides advanced administrative support to the department head while maintaining confidentiality. Monitors action item timelines/deadlines and ensures timely completion. Maintains department head calendar and schedule, meeting room/Zoom setup, calendar invites, minutes, sign-in sheets, etc. Serves as lead on planning and coordinating meetings, seminars, and other special events. Coordinates administrative support functions, which includes responding to internal and external correspondence. Serves as department contact for employees and provides guidance on administrative activities. Provides input on the goals and objectives of administrative operations. Participates in the resolution of operational issues, including the creation of standard operating procedures. Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions. Develops administrative objectives and strategies. Makes recommendations for process improvements, administrative changes, or new initiatives.

    + Faculty Support & Departmental Reporting: Serves as department lead for faculty hiring activities, including managing the faculty hiring process and onboarding upon hire. Maintains records of faculty absences. Coordinates travel arrangements/logistics and prepares itineraries for administrators/faculty including conference registration, transportation, expense reimbursement, and account reconciliation. Monitors budget, submitting and reviewing purchase orders and monthly travel/expense reports. Monitors spending by verifying charges against budget and reconciling numerous accounts on a monthly basis or as needed. Assist the department head with the annual review process for faculty.

    + Supervisory, Projects & Service: Supervises assigned staff, plans work and determines work priorities. Attends Lead Administrator meeting as representative for department. Monitors compliance with policies and procedures. Maintain and monitor office supplies and equipment, and place orders to maintain inventory levels. May be called on to act as alternate APO and monitor department inventory. Provides support for assigned committees. Performs special analyses and project summaries. Prepares and reviews operational and special reports.
