    Event Coordinator – Do it Best Foundation Position Type: Full-Time, Salaried Department: Do it Best Foundation Reports To: Executive Director, Do it Best Foundation Location: Fort Wayne, IN

     

    About the role: The Event Coordinator plays a key role in advancing the mission of the Do it Best Foundation by supporting the planning and execution of Foundation events and managing day-to-day administrative operations. Reporting directly to the Executive Director, this position provides a high level of organizational, communication, and relationship management support to ensure the success of Foundation initiatives.

     

    The ideal candidate will be passionate about community engagement, experienced in event coordination, and comfortable handling a mix of logistics, administration, and front-facing interactions with nonprofits, community leaders, internal stakeholders, and members/retailers.

    Key Responsibilities

    + Plan and coordinate 5–10 Foundation-related events annually, including fundraising events, community outreach, volunteer activities, and so on.

    + Manage event logistics such as venue booking, catering, vendor coordination, registration, communications, promotional materials, and day-of execution.

    + Partner with vendors and suppliers to ensure the event's needs are met

    + Track event budgets and timelines to ensure cost-effective, well-executed outcomes.

    + Collaborate with Marketing and Communications teams on event materials and social media visibility.

    + Prepare post-event summaries, feedback collection, and recommendations for future events.

    + Support the Executive Director in scheduling, meeting preparation, email management, and follow-up.

    + Oversee the four annual grant cycles by tracking submissions, organizing supporting materials, and maintaining accurate records of all grant applications and documentation.

    + Coordinate nonprofit site visits, including travel arrangements, scheduling, and communication.

    + Build and maintain strong relationships with nonprofit partners, grant recipients, and Foundation contacts.

    + Assist in preparing reports, presentations, donor communications, and board materials.

    + Maintain Foundation records, contact databases, and ensure timely and professional correspondence.

    + Handle ad-hoc tasks and special projects related to Foundation growth and community partnerships.

    + Other duties and responsibilities, as assigned

    Education and Experience:

    + Associate’s or bachelor’s degree in business, nonprofit management, communications, or related field.

    + 3+ years of experience in event planning, executive support, or nonprofit administration.

    Skills and Abilities:

    + Strong organizational and project management skills; ability to manage multiple priorities simultaneously.

    + Exceptional verbal and written communication skills.

    + High level of professionalism and discretion when handling confidential information.

    + Proficient in Microsoft Office, Google Workspace, and event/project management tools.

    + Experience working with nonprofits, grants, or community partnerships is a plus.

    + Excellent communication and interpersonal skills

    + Ability to work in a fast-paced environment and handle multiple tasks simultaneously

    + Detail-oriented with a strong problem-solving mindset

    + Ability to work evenings and weekends as needed for event execution
