Sr. Finance & Accounting Administrator
Position Summary:
Provides high-level administrative and operational support to the CFO and Finance leadership while directly contributing to the overall success of the Finance & Accounting department. This role balances traditional executive assistant responsibilities with finance team support, project management, and department-wide coordination. The ideal candidate thrives in a fast-paced environment, demonstrates strong financial acumen, and is comfortable managing multiple priorities with professionalism and discretion.
Job Description:
Primary Responsibilities
+ Supports Finance leadership with calendar management, travel coordination, expense reporting, and meeting preparation.
+ Prepare correspondence, presentations, agendas, and meeting materials.
+ Plan, prepare, and attend weekly, monthly, and quarterly Finance Leadership meetings; record minutes, track follow-up actions, and ensure timely completion.
+ Manage logistics for on-site team meetings and external stakeholder engagements in coordination with Facilities and IT.
+ Collaborate on Quarterly Governance meeting materials, ensuring timely review and preparation of Board Binder materials for executive attendees.
+ Coordinate communications between Finance leadership and internal/external stakeholders while maintaining confidentiality of sensitive information.
+ Track and reconcile department budgets, invoices, expenses, and contracts; research and resolve exceptions.
+ Assist with preparation of financial reports, dashboards, and presentations.
+ Assist Finance and Accounting teams with month-end close activities to ensure timely completion and communication of results.
+ Coordinate ad hoc data analysis, financial modeling, and reporting requests.
+ Assist with development and maintenance of project plans, timelines, deliverables, and progress reporting for Finance initiatives.
+ Manage project documentation, including contracts, invoices, schedules, and payment records.
+ Coordinate cross-functional meetings, workshops, and departmental events.
+ Develop and maintain tools, templates, and resources to improve Finance team efficiency.
+ Prepare executive-level communications and presentations.
+ Research vendors, outsourcing options, and industry best practices as needed.
+ Assist with implementation of new systems, tools, and process improvements within Finance and Accounting.
+ Manage multiple priorities with initiative, professionalism, and discretion.
Qualifications
+ Bachelor’s degree in Business Administration, Finance, Accounting, or related field (or equivalent combination of education and experience).
+ 5+ years of relevant experience, including executive or senior-level administrative support; prior finance or accounting exposure preferred.
+ Strong financial acumen with experience in budget tracking, reporting, or accounting processes.
+ Demonstrated project coordination or project management experience.
+ Advanced proficiency in Microsoft Office (Excel, PowerPoint, Outlook); experience with Workday and Smartsheet preferred.
+ Excellent communication and relational skills, with the ability to engage effectively at all levels of the organization.
+ Strong organizational skills with a proven ability to manage multiple priorities and meet deadlines.
+ High level of initiative, discretion, and professional judgment with a collaborative approach.
Working Conditions
+ While performing the duties of this job, the employee works in normal office working conditions.

Factors that may be used to determine your actual pay rate include your specific skills, experience, qualifications, location, and comparison to other employees already in this role. In addition to the base salary, certain roles may qualify for a performance-based incentive and/or equity, with eligibility depending on the position. These rewards are based on a combination of company performance and individual achievements.
The hiring range for this position is:
$72,800.00-$97,400.00
