Core Quality and OPEX team are seeking a shared administrative assistant resource to help the Quality teams be successful. This admin will support both the Core Quality Director and OPEX Director and their teams. This is an excellent opportunity to learn about the Quality Organization as a whole as these teams are responsible for compliance, governance, continuous improvement, systemic analysis, artificial intelligence, internal audit, external audit, training, processes, systems and tools.
Because this role involves a combination of collaborative/in-person and independent work, it will take the form of a hybrid work format, with time split between working onsite and remotely.
Requires a high degree of tact, initiative, efficiency, accuracy and judgement, a thorough understanding of business practices and procedures and the ability to interface well with all levels of management.
SPECIFIC RESPONSIBILITIES:
+ Provides administrative assistant support to Core Quality Director and OPEX Director and their teams
+ Plans and organizes work and develops procedures to meet requirements manages calendar
+ Compiles special reports, conducts special projects and performs administrative duties as required. Coordinates action items. Manage websites/sharepoint sites.
+ Communicates with executives, administrative and line management personnel to gather or convey relevant information.
+ Organizes and maintains confidential files and records, such as Human Resources information, security accounts and other matters.
+ Performs a wide range of services for the Directors, including such items as making recommendations and reservations for travel, managing calendar, arranging training classes and special assignments
+ Support of the Core Quality and OPEX middle management and individual contributors on the team to include travel arrangements, meeting and conference coordination, reporting
+ Ability to set up systems to promote collaboration among the leadership team SharePoint, Teams channels, meeting spaces, other applications. Desire to learn development, setup, and maintenance of these applications in support of creating a more efficient, connected team.

Required Education, Experience, & Skills
+ High School Diploma or GED
+ 2-4 years work experience or equivalent experience
+ Proficiency in M365 programs such as Outlook and Teams
+ Basic Microsoft Office skills
+ Excellent communication, time management, closure, and multi-tasking skills.
+ Receptive to feedback and ability to be calm under stress
+ Requires a high degree of tact, initiative, accuracy, judgement and superior interpersonal skills, a thorough understanding of business practices and procedures and the ability to interface well with all levels of management.
Preferred Education, Experience, & Skills
+ Directly related administrative assistance experience. Associates degree in Secretarial Services.
+ Experience utilizing Concur for travel and expense
+ Event planning
+ Desire to grow in the organization
+ Basic Website Development & Maintanence (no coding)
Pay Information
Full-Time Salary Range: $62210 - $99535
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
