    Your role

     

    Reporting to the Talent Development Manager,

    JOB SUMMARY:

    The Talent Onboarding Associate plays a key role in delivering a high-quality onboarding experience for new hires, ensuring a smooth, compliant, and engaging transition into the organization. In this role, you’ll coordinate pre-employment and onboarding activities, manage documentation, support compliance with regulatory and GxP standards, and act as a liaison between candidates, hiring managers, and internal stakeholders.

     

    This position is ideal for someone who is highly organized, people-focused, and passionate about delivering excellent employee experiences in a fast-paced pharmaceutical manufacturing environment.

    ESSENTIAL DUTIES / RESPONSIBILITIES:

    Coordinate all aspects of the onboarding process, from offer acceptance through Day 1 and beyond.

     

    Schedule and conduct new hire orientation sessions; prepare materials and coordinate logistics.

     

    Track onboarding milestones and ensure completion of required documentation and training.

     

    Partner with hiring managers to ensure department-specific onboarding is ready and supported.

     

    Manage background checks, drug screenings, employment eligibility (I-9s/E-Verify), and other pre-employment tasks.

     

    Maintain accurate records in the LMS and HRIS onboarding systems; ensure data integrity and compliance.

     

    Respond promptly to new hire inquiries and provide guidance on company policies and procedures.

     

    Collaborate with IT, Facilities, and Security to ensure proper setup for new hires.

     

    Monitor onboarding metrics and provide reports on progress and experience quality.

     

    Support compliance with company, industry, and regulatory onboarding standards (e.g., GxP, FDA).

     

    Recommend process improvements to enhance onboarding workflows and experience.

    Your profile

    REQUIRED EDUCATION:

    High School Diploma or GED required

    QUALIFICATIONS/EXPERIENCE:

    SPECIFIC SKILLS:

    Microsoft Office Suite skills/knowledge/experience required

     

    Excellent written and verbal communication skills

     

    Strong organizational skills

     

    Customer service orientation with the ability to create positive employee experiences

     

    2+ years of experience in HR, talent acquisition, onboarding, or administrative coordination; experience in a regulated industry (pharma, biotech, manufacturing) preferred.

     

    Strong attention to detail and ability to manage multiple tasks and deadlines simultaneously.

     

    Excellent communication and interpersonal skills; professional demeanor with internal and external stakeholders.

     

    Comfortable working with confidential information with a high level of discretion.

     

    Proficiency in Microsoft Office (Word, Excel, Outlook) and HRIS/ATS platforms (e.g., Workday, BambooHR, Cornerstone, ADP).

     

    Knowledge of compliance requirements (e.g., GMP) is a plus.

    PHYSICAL REQUIREMENTS/ENVIRONMENT:

    Standing/walking 50% of the time. Sitting 50% of the time

     

    Able to exert up to 20 pounds of force occasionally to lift, carry, push, pull or otherwise move objects.

    Working Conditions:

    Normal manufacturing and office environment

    May work in an environment with variable but moderately high noise levels (hearing protection recommended). Must wear safety glasses, safety shoes, gloves, and other protective items as required.

     

    Must wear appropriate garments and coverings per cGMP (uniforms, hair/beard nets, etc.).

    SCOPE OF DECISION-MAKING:

    Decisions require complex analytical judgment. Plan and perform a wide variety of duties requiring general knowledge of company policies and procedures applicable within area of responsibilities and including their application to cases not routinely covered. Requires considerable judgment to work independently toward general results, devise methods, modify or adapt standard procedures to meet different conditions, make decisions based on precedent and company policies.

    LEVEL OF SUPERVISION PROVIDED:

    Individual contributor, not responsible for the work others.

    INTERNAL / EXTERNAL CONTACTS:

    Primarily within department or immediate work unit: Requires contacts within the department or functional area on routine matters, or contacts with other departments. Occasionally contacts individuals outside the organization. Contacts are primarily for the purpose of supplying or seeking information.

    Compensation range

    23.00 - 26.00 USD

    *The referenced compensation range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
