    The University of Miami/UHealth Department of SCCC has an exciting opportunity for a Full Time Program Manager to work at the UHealth medical campus in Miami, FL.

     

    CORE JOB SUMMARY The Program Manager will oversee the day-to-day operations, coordination, and strategic development of multiple cancer research training and outreach initiatives, including the American Cancer Society (ACS) Undergraduate and Post baccalaureate Programs and the National Cancer Institute (NCI) U54/SPORE: PROMISE Project. This position ensures seamless integration of activities across programs, manages deliverables, engages stakeholders, and maintains compliance with sponsor requirements.

     

    Working closely with faculty leaders, administrative teams, advisory committees, and external partners, the Program Manager will provide operational leadership, fiscal oversight, and program evaluation to advance both scientific and educational missions.

     

    This position is funded by extramural grant funds which are renewed under provisions set by the grantor.

     

    Core Responsibilities 1. Plans, implements, evaluates, and monitors organization-wide development programs.2. Implements project plans related to the delivery of new and on-going professional development programs.3. Works with internal stakeholders so that the program runs efficiently and effectively.4. Evaluates and measures the effectiveness of assigned programs.5. Ensures that operations are managed within authorized budgets.6. Collects, manages, and reports program data.7. Develops and cultivates relationships and partnerships with various external entities and organizations to further department functions.8. Recruits, supervises, evaluates, and disciplines department staff to ensure optimum performance.9. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

    Department Specifics:

    Program Oversight & Coordination

     

    + Direct and manage daily operations for both the ACS training programs and the PROMISE project, ensuring objectives, timelines, and compliance requirements are met.

    + Coordinate with SPORE counterparts at all participating institutions who report to their respective MPIs as well as to the SPORE Administrator.

    + Facilitate biweekly PROMISE coordination meetings with Project Coordinators to address process improvements across Shared Resource (SR) Cores and Projects.

    + Create and maintain scholar/participant databases and correspondence, including recommendation requests from past scholars and letters from appropriate entities.

    + Manage application processes, including responding to information requests, sending application status updates, tracking acceptance responses (with reasons for declining), and processing contracts.

    + Schedule and facilitate ACS review panels, advisory committee meetings, biweekly coordination calls, and other program-related administrative meetings.

    + Contact faculty, clinicians, and trainees to finalize and schedule program seminars, workshops, shadowing sessions, professional development activities, and other events.

    + Coordinate HR onboarding (hiring), travel, housing, training/orientation sessions, consent forms, and tracking of training completion records for ACS program participants.

    + Ensure coordination between ACS and PROMISE program activities within the broader Sylvester Comprehensive Cancer Center (SCCC) educational initiatives.

     

    Deliverables, Reporting & Compliance

     

    + Oversee all program reporting and deliverables, including:

    + Annual ACS progress reports

    + NIH/NCI RPPR submissions for PROMISE

    + Renewal applications for both programs

    + Annual External Advisory Board (EAB) meetings and associated reports

    + Collaborate with the Sylvester Pre-Award team for preparation and submission of grant materials.

    + Track deliverable timelines, prepare templates, create presentation slides, coordinate internal review workflows, and manage reviewer communications.

     

    Stakeholder Engagement & Communication

     

    + Serve as primary administrative point of contact for both programs at the University of Miami.

    + Coordinate activities with SPORE stakeholders, including faculty, staff, advisory boards, and community partners.

    + Support integration of advisory boards into program planning, operations, and evaluation.

    + Attend at least one national recruitment meeting annually with the ACS Program Director to advertise the ACS program, recruit trainees, and build professional networks.

    + Develop and implement communication strategies to disseminate program goals, outcomes, and opportunities internally and externally.

    + Manage the full lifecycle of program deliverables: tracking, template generation, draft and slide preparation, review workflows, and reviewer communication.

     

    Program Evaluation & Stakeholder Engagement

     

    + Conduct regular evaluations of program activities, including feedback from current participants.

    + Administer periodic surveys to former participants to assess long-term outcomes and impact of programs.

    + Coordinate activities and communications with SPORE stakeholders, including faculty, staff, advisory boards, and community partners.

    + Support integration of advisory boards into planning, operations, and evaluation.

    + Coordinate year-round professional development activities for both undergraduate and post baccalaureate ACS trainees.

    + Use evaluation results to inform program improvements and strategic planning.

     

    Fiscal & Administrative Management

     

    + Track program budgets and expenditures, ensuring compliance with sponsor and institutional requirements.

    + Coordinate with IT to ensure up-to-date program websites with accurate content, including application details, key dates, forms, and archived program records.

    + Provide on-site oversight during the ACS 10-week summer program to monitor daily activities and ensure participant support.

    + Collaborate with Sylvester Post-Award administrator to manage subcontracts and grant expenditures.

     

    Strategic Planning & Communication

     

    + Develop and implement communication strategies to disseminate program goals and outcomes.

    + Prepare materials for internal and external presentations, including SPORE Executive and Community Advisory meetings and ACS recruitment events.
