    Job Description

    The Bureau of Vital Statistics (BVS), which consists of the Office of Vital Records Documentation, Office of Vital Records Service, Office of Vital Statistics, Office of Quality Improvement, Registrar and the Office of Integrated Electronic Records, is recruiting a Constituent Services Associate for its electronic vital events registration system (eVital) and other data sharing systems. eVital is the mission critical platform for all Vital Records and Vital Statistics operations. It is used to register, store, certify, issue, amend, analyze and report on births, deaths, and spontaneous and induced terminations of pregnancy in New York City, and related data.

    DUTIES WILL INCLUDE BUT NOT BE LIMITED TO:

    - Provide assistance to constituents; including funeral directors, hospital personnel, nursing homes, hospice facilities, OCME and other agencies, for inquiries received primarily by telephone and by email.

     

    - Respond to constituents; elicits information, identifies, investigates, and resolve problems.

     

    - Guide constituents through corrective steps on usage of the electronic system.

     

    - Follow up with our constituents to assure problems have been resolved.

     

    - Test and evaluate new eVital functions and system releases.

     

    - Monitor system queues for Vital Events registration elapse time and perform follow up with data providers.

     

    - Evaluate reporting data and implement strategies for process improvement.

     

    - Conduct system trainings on the correct procedures and regulatory requirements for reporting vital events in New York City according to the New York City Health Code.

     

    - Create and maintain system documentation, training materials and user guides for the bureau's electronic system.

     

    - Serve as technical resource for data providers.

    PREFERRED SKILLS:

    - Experience working with Microsoft Office Suite

     

    - Experience developing and delivering training interventions

     

    - Organized with strong attention to detail

     

    - Knowledge of performance tracking best practices and ability to identify areas for process improvement

     

    - Experience conducting live and/or remote training

     

    - Ability to communicate effectively through telephone, email, presentation, and other materials

     

    - Ability to work in a collaborative environment and on a team by building relationships

    PRINCIPAL ADMINISTRATIVE ASSOC - 10124

    Qualifications

    1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or

    2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or

    3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;

    4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
