    Description

    Position Summary:

    The Data Entry Specialist is responsible for entering, maintaining, and verifying program data for the Sergeant Fox Suicide Prevention Grant. This position ensures accurate, up-to-date records of participant services, outcomes, and activities to support reporting, compliance, and program evaluation. The Data Entry Specialist works closely with the program team to ensure timely documentation and data integrity in alignment with grant requirements.

    Essential Job Functions:

    + Enter participant intake forms, service delivery logs, and case notes into the designated data management systems.

    + Maintain accurate and complete records for all program participants, including demographics, service utilization, and outcomes.

    + Review data for accuracy and completeness; follow up with staff to resolve discrepancies or obtain missing information.

    + Assist in generating routine and ad hoc reports for internal use and grant reporting.

    + Support data audits and quality assurance efforts to ensure compliance with funder guidelines and privacy standards.

    + Maintain organized filing systems for both digital and paper records, ensuring secure handling of confidential information.

    + Provide administrative support to program staff as needed, including tracking referrals, appointments, or outreach activities.

    + Collaborate with the Program Director and Data Manager to meet reporting deadlines and performance benchmarks.

    + Participate in relevant trainings and meetings to stay updated on data procedures and program updates.

    + Must embrace and embody the mission, vision, guiding principles, clinical vision, and goals of WestCare Foundation.

    + Other relevant duties as assigned.

    Qualifications

    EDUCATION and/or EXPERIENCE:

    + Experience with data systems and tools such as Excel, EHRs, or case management software preferred.

    + Minimum of 1 year of experience in data entry, records management, or administrative support.

    + High school diploma or equivalent required; associate’s degree or coursework in business, administration, or data management preferred.
