    Description

    We are seeking a detail-oriented and motivated Administrative Assistant to support the smooth, daily operations of our office environment. The Administrative Assistant will play an integral role in ensuring efficient communication, organization, and support. This role requires excellent organizational skills, a proactive attitude, and a strong ability to handle multiple priorities.

    Key Responsibilities:

    Administrative Support:

    + Manage and maintain calendars, including scheduling meetings, appointments, and events.

    + Prepare, edit, and distribute correspondence, memos, reports, and presentations as required.

    + Answer and direct phone calls, emails, and other inquiries promptly and professionally.

    Office Coordination:

    + Assist with organizing and maintaining office files and records, ensuring compliance with company documentation protocols.

    + Coordinate and order office supplies, ensuring adequate availability at all times.

    + Serve as a point of contact for internal and external stakeholders, including vendors and contractors.

    Meeting Coordination:

    + Schedule, organize, and prepare for meetings, including preparing agendas, booking conference rooms, and taking detailed minutes.

    + Coordinate travel arrangements and itineraries for staff and management as necessary.

    Data Entry and Reporting:

    + Assist in the creation and maintenance of databases, spreadsheets, and reports as directed.

    + Handle data entry with precision, adhering to company data integrity policies.

    Team Collaboration:

    + Support cross-functional teams by managing special projects and initiatives as needed.

    + Assist colleagues and leadership in achieving critical deadlines and deliverables.

    Requirements

    + High school diploma or equivalent; additional certifications in office administration are a plus.

    + Proven experience as an administrative assistant, office assistant, or in a similar role.

    + Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.

    + Strong written and verbal communication skills.

    + Exceptional organizational and time-management abilities.

    + Ability to maintain confidentiality and exercise discretion when handling sensitive information.
