Job Summary and Qualifications
The Administrative Assistant provides support functions for the Chief Operating Officer and Ethics Compliance Coordinator. Works with the Administrative staff in communicating with Medical Staff, maintaining all records, files, etc., in accordance with Joint Commission. Assist visitors and the public with any inquiry, problem or complaint presented, within the realm of designated authority. Serves as an information center supplying information requested or directing inquiries to the proper source. Problems that cannot be resolved are directed to any of the administrative staff after complete background information has been obtained for information.
What You Will Do In This Role:
+ Schedule high volume of meetings including reoccurring meetings with minimal conflicts. Provides agendas and other meeting details in advance of meeting for review. Sends reminders of upcoming meetings to attendees in advance. Coordinates meeting room and AV requirements and catering as needed.
+ Schedule MOR monthly meetings for Administrators with reporting Directors. Updates Administrator’s binder/handouts for 1:1 with CEO.
+ Coordinates monthly Operations Executive Meeting: calendar invitations, agenda, thank you notes to employees, notes/minutes
+ Support of the Ethics and Compliance programs for HCA Houston Healthcare Clear Lake and the Clear Lake Administrative Officer(s) that serve as ECO/Co-ECO.
+ Quarterly FECC Meetings
+ Submit eSaf request
+ Provide Concur overview training
+ Heavy calendar/schedules meetings for administrative staff as requested.
+ Back up for phones and reception duties.
+ Coordinate and attend offsite hospital department events.
What Qualifications You Will Need:
+ High School Graduate / GED
+ Experience - Minimum 2 years’ Administrative Assistant experience, preferably in a hospital setting.
+ Special Qualifications - Strong word processing (Microsoft Office); typing and other computer skills. Excellent communication collaboration and well experienced in writing, editing, and well trained in office procedure. Must have ability to act on own initiative and be willing to assume responsibility and make decisions. Must be able to prioritize workload, be a self-starter, able to multi-task, work in a fast-paced environment and work independently with minimum supervision. Good organizational skills. Detail oriented. Ability to handle confidential information appropriately. Ability to work and participate in a team environment within and across departments. High degree of flexibility required.
