Clinical Business Contracts Associate

This position requires an individual to manage processes and systems that support the Research and Development (R&D) team. The aim is to enhance efficiency in invoice review and approval tasks while increasing financial transparency and accountability within the R&D organization. The role involves implementing effective contract management tactics and fostering communication and information sharing with R&D contract owners.
Responsibilities
+ Possess knowledge of invoice schema, terminology, and methodology.
+ Take ownership of the invoice email inbox, ensuring timely receipt, processing, and tracking of invoices.
+ Coordinate with R&D contract owners to ensure invoice approvals and processing within five business days.
+ Assist R&D contract owners in resolving invoice disputes.
+ Collaborate with accounting and finance teams to ensure timely payment processing through internal financial systems.
+ Research and compare financial information using the contract budget and communicate discrepancies to budget owners.
+ Ensure payments are issued in accordance with contract terms and conditions.
+ Respond to payment status requests from suppliers, vendors, and internal partners.
+ Collaborate with internal stakeholders across the R&D organization and corporate support functions, including FP&A, AP, Procurement, Legal, Clinical Operations, and other Development functions, as well as external vendors, consultants, investigators, and clinical trial sites.
+ Generate and distribute new purchase order (PO) requests and amend existing POs.
+ Reconcile and close out POs for various contracts.
+ Maintain and track the status of contracts and report updates to the study team or business owners.
+ Perform other financial and administrative tasks as needed.
Essential Skills
+ Vendor management, purchase order, and invoice reconciliation skills.
+ Experience in clinical research.
+ A minimum of three years working in a Contract Research Organization (CRO) or pharmaceutical environment supporting research.
+ Invoice and financial management experience.
+ Budget versus invoice reconciliation expertise.
+ Purchase order generation and contract closeout skills.
+ Contract and vendor management capabilities.
+ Understanding of vendor agreements.
+ Monitoring contract status and proficiency with contract and financial systems such as SAP, Coupa, and Ariba.
Additional Skills & Qualifications
+ Three years of in-house experience at a biotechnology, pharmaceutical, or high-tech company with experience in accounting and/or contract drafting, negotiation, and management.
+ Thorough understanding of vendor/service agreements and the payment process, including tracking and negotiation.
+ Strong customer service focus and interpersonal skills.
+ Professionalism, organization, and flexibility.
+ Strong attention to detail and multitasking skills.
+ Exceptional problem-solving abilities and results-oriented approach.
+ Ability to work under pressure and meet deadlines.
+ Sound business judgment.
+ Ability to work effectively across a matrix organization, including legal, finance, IT, procurement, and all levels of management.
+ Ability to work independently and prioritize tasks and deliverables with minimal daily instruction.
+ BS/BA in a related discipline, preferably in Accounting, Finance, or Business.
+ Strong proficiency in Microsoft Excel, Word, Outlook, MS Teams, and software/systems related to contract management and financial systems.
Pay and Benefits
The pay range for this position is $50.00 - $65.00/hr.
