    Principal Objective/Role Overview:

    Graham is looking for an organized, outgoing Office Concierge for our offices in Brooklyn. In this position, you will assist with a variety of clerical and administrative duties. These tasks include but are not limited to greeting clients, answering phones, taking messages, managing email and mail correspondence, and site calendaring. You may also assist with invoicing and ordering office supplies. As a member of the Graham Welcoming Committee, you will be tasked with the duty of greeting staff and families as they arrive. Providing excellent customer service while maintaining a professional appearance is a key requirement of the role.

    Job Responsibilities:

    Receptionist/Office Concierge Duties and Responsibilities

     

    + Welcome staff, families and visitors.

    + Answer phones and take messages.

    + Monitor incoming and outgoing emails.

    + Manage inventory of office supplies.

    + Perform other clerical tasks administered by the Administrative Services Manager.

    + Render support to the Executive and Leadership team. (As needed upon approval of Admin Manager)

    + Assist programs with laundry and shower room scheduling.

    + Replenishing of office supplies and snacks.

    + Keep play area organized and tidy.

    + Monitor locker usage.

    + Advise cleaning team of areas of concern.

    + Work in conjunction with security team to maintain a safe and secure environment for staff and families.

    + Maintain open communication with supervisor/leaders in regard to security and maintenance concerns.

    + Provide coverage and support for neighboring Graham locations. (As needed upon approval of Admin Manager)

    Conference Room Booking & Guests Services:

    + Timely management of conference room accommodation (includes reservation via Robin and audio-visual equipment and office supplies)

    + Greets and directs families/guests to the proper areas of service.

    + Add guests to Envoy and provide access to Envoy for new approved staff

    + Assist with the set-up and take down conference rooms for meetings.

    Interoffice and External Mail Services:

    + Sort, process and distribute incoming mail.

    Qualifications

    Position Qualifications:

    + High school diploma or GED certificate preferred.

    + Administrative or clerical experience preferred.

    + Computer proficiency with Outlook, Word, Excel and Google Docs

    + A proven capacity to work inclusively and collaboratively with program, fiscal and administrative leadership, as well as external stakeholders,

    Salary & Compensation:

    + Hourly Rate: $23.25/hour

    + FLSAStatus: Non-Exempt
