    Job Description

    35 hours per week

    Initial hours of assignment: 8:00am - 3:30pm (inclusive of 1/2 hour unpaid lunch)

    12 months per school year

     

    PLEASE NOTE: This is a provisional competitive Civil Service position. The selected candidate must be currently appointed to a Competitive Sr. Clerk Typist position or will be hired provisionally and be required to take the next scheduled Sr. Clerk Typist test and be reachable on that list.

    Requirements:

    + Strong Interpersonal skills

    + Strong communication skills, both oral and written

    + Evidence of strong clerical skills including but not limited to: Knowledge and functional use of a variety of computer platforms (e.g. Microsoft word, Excel, Power Point, Frontline, Google)

    + Detailed and dependable

    + Ability to maintain confidentiality

    + Proven ability to function as part of a team

    + Ability to perform calmly in busy office setting

    + Excellent telephone skills

    + Flexible, collaborative and able to adjust to changing priorities

    Preferred:

    + Attention to detail, problem-solving and good organizational skills.

    + Able to be part of a team in a high paced work environment.

    + Evidence of successful experience in similar position(s).

    Responsibilities:

    + Committee on Special Education and Preschool Committee on Special Education processing and/or data entry

    + CPSE/ CSE Support-District Office Meetings, attendance, minutes, draft Individualized Education Plans, and letters to parents

    + Completion of county paperwork, Stac-5, and Stacs for students

    + Coordinating District Committee on Special Education meetings and annual review meetings with agencies, director, and school personnel

    + Communication for new referrals with agencies, coordination of meetings, completion of invitations

    + Filing and report management

    + Typing: preparing department reports, memos, and presentations as requested

    + Answering phone calls and responding to inquiries

    + Managing student records, including responding to requests for copies

    + Other duties as assigned by Directors and/or Assistant Superintendent

     

    Competitive Civil Service Description

     

    The work involves the performance of typing and varied duties of a moderately difficult nature. This class differs from that of Clerk Typist by virtue of the more difficulty and varied nature of the work performed and by the independent judgment in the application of established procedures and methods that is exercised by the incumbent. Does related work as required.

    Qualifications:

    Graduation from high school or possession of a high school equivalency diploma, including or supplemented by a course in typing and one year of office clerical experience.

     

    Note: Completion of a one year or longer post high school secretarial course, which included typing, may be substituted for the required experience. Additional office clerical experience which included typing, beyond the one year requirement, may be substituted for high school on a year-for-year basis. Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full-time experience requirements.

    Special Requirements:

    + Good knowledge of office terminology, procedures and equipment;

    + good knowledge of business arithmetic and English;

    + ability to understand and carry out complex oral and written instructions;

    + ability to type from clear copy or rough draft at an average rate of speed;

    + clerical aptitude;

    + sound judgment;

    + neatness;

    + tact and courtesy;

    + physical condition commensurate with the demands of the position.

    + Strong computer skills including knowledge of Microsoft Word, Excel, Publisher, and Power Point is required.

    + Detail oriented with proven experience in reviewing written information for grammatical and format errors.

    + Ability to work independently as necessary.

    + Experience in assisting on the completion of comprehensive reports that are used for internal and external purposes.

    + Experience in working with accounting systems and understanding financial reports or the ability to demonstrate a proficiency in working with financial information.

    Typical Work Activities:

    + Is familiar with and contributes to the successful implementation of the District's Mission and Belief statements;

    + types accounting and financial statements, payrolls, statistical tabulations and data, for letters, memoranda, vouchers, reports, requisitions and other material;

    + reviews accounts, reports and other documents for completeness, accuracy and conformity with established procedures;

    + indexes and files documents and correspondence;

    + searches, locates, and records papers and documents;

    + assembles a variety of data from office records for incorporation into various reports;

    + prepares payrolls and maintains time cards;

    + composes and types routine correspondence;

    + assists in proofreading typewritten and printed materials;

    + answers telephone;

    + gives routine information to the public;

    + makes appointments;

    + operates an adding machine, calculator, copier, computer, or other office machines;

    + collects and maintains records of fees collected by department;

    + operates an alpha-numeric key board to transcribe data to either punch-cards, tapes, magnetic discs or directly to a computer;

    + perform such other tasks and assume such other responsibilities as directed by the Superintendent of Schools or his/her designee.
