Student Records Specialist

GENERAL FUNCTIONS
This position functions as a data manager. The individual filling this position reports to the Registrar and assists with all data-related functions that support Records Office operations. This position requires working with students, faculty members, and other administrative personnel to produce reports, provide information from the student database, and maintain schedule catalog and validation tables. In addition, this position performs other duties when required.
SPECIFIC RESPONSIBILITIES
The following are typical responsibilities associated with this position. The specific responsibilities may vary and will be assigned accordingly by the supervisor.
+ Performs duties related to the area of responsibility as assigned by the Registrar.
+ Handles training of the employees in the college with regard to Records Office procedures and Banner student information system.
+ Prepares on and off-campus credit course schedule each academic term in conjunction with the Deans and Associate Deans. This includes initial projection reports, updates to the course catalog, class cancellations, maintenance of all the appropriate data fields, and generation of supplementary reports. Also responsible for error checking as it relates to data entry by campus staff with regard to course schedule creation.
+ Setup and maintenance of Waitlist processes.
+ Maintain Course Offerings in our local Genesee Strategic Intelligence (GSI) institutional dashboard.
+ Performs tasks related to ad-hoc reporting, batch processing, reports, and research information upon request.
+ Supports the non-matriculated registration process.
+ Facilitate Final Exam schedule.
+ Supports eligibility for athletic teams.
+ Assists with Business Employees Skills Training (BEST) Center catalog and course schedule.
+ Banner testing new versions and patches/upgrades.
+ Review catalog in SIRIS reporting to verify correct coding of catalog courses sent to SUNY.
+ Work with IR/Admissions/ACE to correct data errors in SIRIS student reporting.
+ Serve as backup Degree Works support to the Assistant Registrar.
OTHER DUTIES
+ Acts as a liaison to college Web Master.
+ Serves on college committees and teams as required.
+ Other duties as assigned by the Registrar and Provost & Vice-President for Academic Affairs.
Job Requirements:
EDUCATION
Bachelor's degree OR Associate's degree and 3 years of experience
EXPERIENCE
Experience working in a higher education administrative environment with student records and a high level of computer skills and technology, including Microsoft Office, Student Information Systems and ad hoc reporting tools (ARGOS, SQL, or Microsoft Access) are highly desired; three years required with an Associate's at minimum. Experience in a Registrar's Office and/or demonstrated knowledge of the Ellucian Banner Student System are preferred.
KNOWLEDGE SKILLS AND ABILITIES
Good communication (written and verbal) and human relations skills; ability to work effectively with students, staff, and faculty; ability to organize and manage multiple tasks; ability to handle highly detailed work with precision and accuracy with a minimum of supervision; must be a team player; must be able to demonstrate sensitivity to people of diverse cultural and racial backgrounds.

RELATIONSHIPS:
This position works closely with other administrative offices throughout the college including the campus centers.
SALARY AND CONDITIONS OF EMPLOYMENT:
This is an in-person, Batavia campus-based, twelve (12) month appointment. Salary, benefits, and conditions of employment are as set by the GEA contract. The position is compensated at a rate of $43,868.98. Employee may be required to work evenings and Saturdays on occasion.
