The School of Pharmacy is looking for a Administrative Associate V to serve as a member of the Office of Experiential Education team. Essential Duties/Tasks:
Administrative Support
+ Assist the Office of Experiential Education (OEE) and staff by providing administrative support; maintain visibility and be approachable to all students, faculty, administrators, preceptors and other stakeholders; establish and maintain a respectful environment.
+ Provide administrative assistance to OEE administrative staff; assist with scheduling, email correspondence, and mailing as necessary.
+ Provide administrative and logistical support for events and meetings by anticipating needs such as room reservations, equipment needs, various communication needs, catering orders, event signage, publicity posting including email invitations, printing and material distribution, maintenance of RSVPs, and maintenance of contact lists.
+ Handle routine correspondence with students and preceptors and other individuals without direct supervision. Be responsible for the retention and security of essential, operation, fiscal, and other records/reports for the OEE.
+ Answer telephone, take messages & ensure quality communication
+ Process payment of invoices; maintains supplies inventory; anticipate needed supplies; place and expedite orders for supplies; verify and reconcile purchase card statements; receive and store supplies.
+ Functions as a liaison with other departments and sites in coordination with OEE.
+ Serve as supervisor for OEE student workers.
OEE Support
+ Function as a liaison with other departments and sites in coordination with the administrative staff of OEE.
+ Provides financial and administrative support by acting as Concur Travel Delegate for OEE staff; assist with travel coordination, expense reports, and reimbursements; monitor department budget and expenses;
+ Take notes during OEE meetings and type up meeting minutes and agendas and distribute.
+ Assist the Associate Dean in establishing and maintaining the Interprofessional Education program.
+ Provide logistical and administrative support for RSOP affiliated residency programs as requested.
+ Assist with maintaining records, scheduling, and student completion o forms for patient care co-curricular activities.
Qualifications
Required Education and Experience
+ High school graduation or any equivalent combination of education and experience.
+ Five years of experience in general office or clerical work.
Preferred Knowledge, Skills, and Abilities
+ Knowledge of word processing, spreadsheet and/or data entry applications.
+ Strong verbal and written communication skills.
+ Strong interpersonal and organizational skills.
+ Maintains professionalism and composure.
+ Ability to demonstrate initiative by independently taking action to solve problems.
+ Attention to detail.
+ Ability to multitask and work cooperatively with others.
+ Ability to work in a high stress environment.
