    **Job Title:** Operations Specialist

    Job Summary:

    This role provides tactical and operational support to EFO Regional Managers, with a focus on improving efficiency and service delivery. Key responsibilities include monitoring open work orders, conducting detailed analytics, aligning EFO and ECSC operations, and serving as a liaison between Account Teams and Regional Managers. The position works closely with the Operations Team, Field Leadership, and the EFO HVAC Service Manager to ensure timely, high-quality service to our expanding client base. Additionally, this role supports the Director of Plans, Training, and Operations in developing and maintaining clear, consistent standard operating procedures and documentation related to work order management and procedural compliance.

    Essential Duties and Responsibilities:

    Daily review of waiting material and waiting quote work orders, onsite status work orders over 12hours, account specific compliance (sign offs and work order validation), past due work order assignments, and EFO checkout form compliance reports.

     

    Coordinate with account teams to identify friction points and mitigation strategies to ensure our team continues to provide a positive customer experience.

     

    Establish and maintain weekly meetings with individual Regional Managers to review KPI metrics to include, On Time Completion, Self-Performance, Average Hours and Current, Due Now, and overdue work orders.

     

    Work with EFO HVAC Program Manager to enhance HVAC operations which includes: Timely PM completion, adherence to established procedures, increased HVAC technician utilization and increased work found on PM.

     

    Other duties as assigned by the EFO Director of Plans, Training and Operations

    Qualifications:

    Education

    Undergraduate degree preferred.

    Business Experience

    Minimum of 3 years of facility maintenance operations management experience.

     

    Licenses/Certifications

    N/A

    Language Skills

     

    Ability to write reports, business correspondence, and develop briefings. Ability to effectively present information and respond to questions from upper management, clients, subcontractors, and peers.

     

    Technical Qualifications & Skills

     

    Proficient with Microsoft Word, Excel, Project, PowerPoint, Power BI, and e-mail communication. Strong written and verbal communication skills required.

     

    • EFO Operations Specialist must possess excellent verbal, written, and personal communication skills. They must be able to clearly communicate with field personnel, field supervisors, account teams, operations, and upper management.

    • Must be proficient at operational reporting, schedules, client updates, and company reports.

    • Ability to counsel, coach, motivate, and provide constructive feedback to other team members.

    • Comfortable presenting information, proposals, and updates to clients and upper management.
