    Job Summary

    Provide confidential and highly-responsible administrative support to the College of Engineering's Office of Advancement. Take a proactive approach to skilled assistance and creative solutions in order to maximize operational efficiency. Responsibilities associated with the support of fundraisers are of critical importance and may change over time to meet the evolving needs of the organization. In this role, you will interact with alumni, donors, faculty, staff and students. Reliability, discretion, exemplary service, professional development and a friendly team environment are the keys to success. Support fundraisers in their efforts to raise funds and encourage giving to create opportunities and access to world-class engineering education.

    Responsibilities*

    + Provide administrative support to fundraisers, including but not limited to complex calendar management, timely expense submissions, letter production, mailings, and phone coverage.

    + Assist with administrative functions and projects, including but not limited to creating and sending emails to volunteers, alumni and donors, coordinating program logistics for large solicitations and student philanthropy, maintaining efficient paper and electronic filing systems, and maintaining project management calendars.

    + Coordinate and complete donor briefing notes.

    + Assist with events, meetings (in-person and virtual) and campus visits. This may involve tracking attendance, creating name badges and table place cards, arranging for event venues, caterers, technical support, drafting itineraries and making complex travel arrangements.

    + Update donor and prospect information in DART (Donor & Alumni Relationship Tool, Blackbaud) and in fundraiser portfolios as directed.

    + Run and distribute reports in Business Objects and Tableau.

    + Perform routine office functions such as mail distribution, filing, copying, and scanning.

    + Participate in projects and teams as assigned.

    + Streamline workflow and increase efficiency by providing suggestions and recommendations.

    + Demonstrate strategic thinking and anticipation of needs.

    Required Qualifications*

    + Bachelor's degree or an equivalent combination of education and experience.

    + Practical administrative experience.

    + Proficiency in customer service.

    + Demonstrated ability to treat confidential and sensitive information in a discreet fashion.

    + Exceptional organizational, communication and interpersonal skills.

    + Excellent attendance and work ethic.

    + Exemplary proofreading skills and attention to detail.

    + Maintain a high professional standard.

    + Flexibility to work independently or as a team member in a fast-paced environment, subject to changing priorities and regular time-critical deadlines.

    + Proven ability to work under pressure, take responsibility for projects and deadlines, and manage multiple competing deadlines.

    + Experience with desktop/laptop computers and programs, including but not limited to Microsoft Word, Excel, PowerPoint, Adobe, Gmail, and Zoom.

    Desired Qualifications*

    + Knowledge of University policies, rules and regulations.

    + Experience using DART (Donor & Alumni Relationship Tool, Blackbaud), Business Objects, and Tableau.

    + Experience using Emburse and M-Pathways.

     

    Modes of Work

     

    Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. This position is classified as hybrid and is expected to be on campus 2-3 days per week.

     

    Background Screening
