    JOB SUMMARY AND PURPOSE

    The LOA, Human Resources Representative will provide leave of absence administration; policy and PTO coordination; as well as supporting workers compensation, benefits administration, and HR policy implementation. This is a hands-on position that will be involved in a wide-range of responsibilities and activities.

     

    Reporting to the LOA Supervisor, the LOA - HR Representative shall be the first point-of-contact for employee-related matters to LOA policies.

    DUTIES AND RESPONSIBILITIES

    + Coordinate and manage leave of absence requests, coordinate efforts towards the designation of all claims.

    + Be the point of contact for employees inquiring about how to start a leave of absence and providing them with information to file leaves with Third Party Administrator

    + Collaborate with Third Party Administrator. Gather relevant data as requested for all hearings, arbitrations, and subpoena request

    + Process and effect employee LOA Pay and Benefits Forms

    + Provide assistance to employees to file LOA claims

    + Monitor LOA claims in iSight portal and TPA emails in leaves inbox to obtain information on new and existing leaves being filed.

    + Run and access reports in HRIS System and iSight portal to maintain all data updates

    + Update and maintain EE-s HRIS System profiles to accurately show their status

    + Maintain digital folders for each EE on leave and documenting conversations with EEs, Leave administrator and/or STD administrator.

    + Prepare and process payroll spreadsheet/timesheets each pay period and submit to Payroll Dept.

    + When WC LOA applicable, collaborate with WC team to coordinate supplemental pay for EE

    + Communicate with ER team and field supervisors to ensure coordination of returning EE

    + Communicate with Payroll and IT departments to turn on/off access to systems when going/returning from leave

    + Work closely with ER team to get timely updates to program leaders about EE on leave

    + Perform project assignments as directed by HR management, including analysis of benefits programs and LOA claim trends, and other HR initiatives as may be needed

    + Provides back up for Workers Compensation and Benefits management, is a resource for HR Service team.

    + Provide assistance to EEs calling the Benefits Line

    ESSENTIAL DUTIES:

    + Work collaboratively with multiple program management teams to ensure timely and efficient resolution of Leave of Absence claims, including RTW and any required accommodations.

    + Assist Employees fill out LOA claims, track claims through to completion.

    + Assist employee education efforts and information distribution for benefits, pension, and retirement, both during initial new employee orientation, open-enrollment and throughout the year.

    + Monitor benefits program utilization by employees, and make recommendations to LOA Supervisor

    + Supports LOA Supervisor with analysis of LOA claims and Employee Benefits utilization, and other requested reports, in order to develop recommendations for improvement of organization-s personnel policies and practices.

    + Review documentation to ensure it is complete and organized

    + Learn all aspects of Benefits Programs, and HRIS to grow professionally

    + Other duties as required and is subject to change at any time.

    Qualifications

    REQUIREMENTS:

    + Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications

    EDUCATION:

    + Bachelor-s Degree or equivalent combination of education and work experience (4 years of relevant experience / coursework)

    EXPERIENCE:

    + Minimum two years of general HR work experience in a large organization (over 500 employees).

    + Minimum of one year of in-depth experience in administering Leave of Absence (LOA) efforts.

    PREFERRED QUALIFICATIONS:

    + PHR, SHRM-CP, CBP or CEBS

    + Professional level human resources experience in large complex organizations with high volume of LOA case load.

    + Experience with Ulti-Pro a plus

    + Bilingual (Spanish)
