About this role:
The Quality Assurance (QA) Assistant supports the Quality & Compliance Team and other program departments in our New Bedford office by combining receptionist duties with administrative support. This role ensures smooth operations, accurate documentation, and effective coordination across programs, helping maintain high-quality services and compliance standards. The QA Assistant is a key contact for staff and visitors and contributes to a collaborative, mission-driven work environment.

Qualifications:
+ Associate’s degree in Business Administration, Human Services, Health Administration, or related field.
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
+ Strong organizational, communication, and multitasking skills.
+ Ability to maintain confidentiality and work independently while managing multiple priorities.
+ Valid driver’s license and reliable transportation.
Role Expectations:
Quality & Compliance Support
+ Maintain and update QA documentation and records.
+ Assist with internal and external audits and follow-up.
+ Record and distribute meeting minutes for Risk Management and Leadership meetings.
+ Support the annual satisfaction survey project and assist with outreach or fundraising activities.
+ Serve as backup to the Training Coordinator.
Program & Department Support
+ Provide administrative assistance across New Bedford programs.
+ Manage data entry, recordkeeping, scanning, and filing of program records.
+ Coordinate offsite storage (ARMS) and scheduled destruction of discharged information.
+ Support billing compliance, vendor management, check requests, and SmartData reports.
Reception & Office Coordination
+ Greet visitors, answer phones, and serve as primary on-site contact.
+ Process incoming and outgoing mail.
+ Manage office supply inventory and fulfill program supply requests.
+ Coordinate meeting spaces and food arrangements for campus events.
+ Perform other related tasks as assigned.
Physical Requirements/Working Conditions:
+ Ability to sit at a desk and work on a computer for extended periods (up to 6–8 hours per day) and to stand as needed for receptionist or event duties.
+ Frequent walking throughout the office; occasional movement between program spaces.
+ Ability to lift or carry office supplies and equipment up to 30 lbs.
+ Ability to reach, bend, or kneel for filing and storage needs.
+ Frequent use of hands and fingers for typing, data entry, and operating office equipment.
+ Ability to hear and respond to telephone calls, conversations, and alarms in a busy office environment.
+ Ability to clearly convey information to visitors, staff, and external partners.
+ Occasional short periods of physical activity to set up tables, chairs, or materials for events/meetings.
+ Occasional travel to other KDC locations for meetings or training.
