    Position Purpose:

    The Front Desk Assistant is the first point of contact for individuals, families, and internal/external partners engaging with the Community Treatment Team (CTT). This role provides administrative, clerical, and customer service support to ensure smooth day-to-day operations of the program. The Front Desk Assistant fosters a welcoming and professional environment, supporting both staff and visitors in alignment with the mission and values of the organization.

    What you will do:

    + Greet clients, visitors, and staff in a professional, courteous, and trauma-informed manner.

    + Answer and direct incoming phone calls; take accurate messages and route them appropriately.

    + Manage the program’s reception area, ensuring it remains organized, welcoming, and safe.

    + Assist with preparation, filing, and organization of client records and program documents in compliance with confidentiality standards (HIPAA).

    + Support staff with clerical duties including data entry, photocopying, scanning, and faxing.

    + Receive and distribute mail, packages, and program communications.

    + Track office supplies and assist in maintaining adequate inventory.

    + Provide general information to clients and community partners regarding program services.

    + Respond to urgent needs at the front desk by notifying appropriate staff in a timely manner.

    + Support the overall efficiency and accessibility of the Community Treatment Team.

    Minimum Qualifications:

    + Bachelor’s degree in sociology, social work, psychology, criminal justice, gerontology, counseling, education, nursing or a related field **or** high school equivalency and 1 years’ experience in a related field.

    + Valid Driver license

    + Ability to drive organization vehicle

    + Act 33/34/73 clearances

    + Pre-employment drug screen

    + Strong organizational and multitasking skills with attention to detail.

    + Excellent interpersonal and communication skills.

    + Ability to maintain professionalism, patience, and cultural sensitivity when working with individuals experiencing mental health or social challenges.

    + Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with electronic health record systems.

    + Ability to maintain strict confidentiality in accordance with HIPAA and organizational policies.

    POSITION HIGHLIGHTS/BENEFITS:

    + **WORK SCHEDULE: This is an Non-Exempt (hourly) position.** Primarily Monday through Friday, daylight with flexibility to meet program needs.
