    Role Purpose

     

    Provide thorough administrative support to senior leadership of Equipment Design and Project Integration (EdPi) within MT&E. Primary support of EdPi extended leadership and other staff as needed. The incumbent to provide assistance in a professional, efficient, and quality manner while operating in a very diverse project environment with multiple conflicting priorities on a daily basis.

    Day-to-Day Responsibilities

    + Assist with administrative and support needs for the EdPi leaders and support managers

    + Provide administrative support, including calendar management, meeting coordination, onboarding assistance, and initiatives to enhance employee morale.

    + Organize director’s time (calendar and daily leadership needs).

    + Travel Arrangements (including shuttle, CONCUR, and American Express).

    + Coordinate logistics and details for department and MT&E events.

    + Onboard new hire actions, IT requests, e-tad facilitation, and space requirements for the Directorate.

    + Support contractor process to ensure efficiency and compliance

    + Manage monthly ETADs by sending reminders, overseeing account management, and ensuring timely updates.

    + Proxy approval for Fieldglass work orders

    + Maintain and order office supplies within the departmental budget considerations

    + Input PeopleSoft Purchase Orders

    + Serve department SPITS Coordinator

    + Space management for group and maintenance requests

    + Work effectively with other admins within the department and division to provide optimum support. Provide back-up support when needed.

    + Prepare presentations, spreadsheets, graphs, and Power BI reports as requested using appropriate skills and software.

    + Update and maintain the SharePoint, and MS Teams sites.

    + Identify opportunities to streamline and optimize departmental processes.

    + Encourage and foster collaboration across global teams to align goals and streamline processes.

    + Provide training to team members on newly released corporate tools to ensure smooth adoption and effective utilization.

    + Stay current with emerging technologies by participating in annual training and development opportunities.

    + Provide Department Archive Record Management (DARM) support to the EdPi team, assisting with audits, sharing expertise, and ensuring accurate recordkeeping.

    + Assist the managers with special projects or needs as requested.

    Experiences/Education - Required

    + AAS Degree in Business Administration.

    + Administrative experience with strong technical computer and software skills.

    + Experience with the following: PeopleSoft, MS365 Applications (PowerPoint, SharePoint, Word, Excel, Outlook – mail and calendar).

    + Ability to prioritize and handle multiple tasks simultaneously, work efficiently and effectively in a dynamic environment.

    Experiences/Education - Desired

    + Proficiency in Concur expenses and travel functions knowledge.

    + Eagerness to take on additional responsibilities.

    + Strong work ethic, high degree of Commitment and Initiative.

    + Customer-Focused Orientation.

    + Work effectively both as a team player and an individual performer.

    + Ability to work the internal network and communicate effectively verbally and in writing.

    The range for this position is $49,636.00 - $68,250.00 assuming full time status. Starting pay for the successful applicant is dependent on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position are dependent on hours worked and may include medical, dental, vision, 401(k) plan, pension plan, life insurance coverage, disability benefits, and PTO.
