    What You’ll Do:

    As an Administrative Specialist, your primary duties will include:

    + Calendar and Email Management: coordinate meetings, appointments, and manage communications for our firm’s client calendar

    + Client Communications and Scheduling: Serve as the first point of contact for our clients, managing their scheduling needs and ensuring excellent service.

    + Mail Sorting and Record Maintenance: Handle inbound and outbound mail, and ensure accurate recordkeeping for the firm’s operations.

    + Bank Run Deposits: Ensure the firm’s finances are updated and accurate through timely deposits.

    + Admin Support for Operations: Assist with various tasks to keep the operations department running efficiently.

    + Maintaining the Firm’s Main Phone Line: Ensure all calls are routed and answered professionally.

    + Maintain a Professional and Welcoming Space: Support with light cleaning and organization to ensure our office stays in top shape for our clients.

    What We’re Looking For:

    + Organization: You are detail-oriented and able to keep track of multiple tasks with precision.

    + Timeliness: You know how to manage your time and meet deadlines, ensuring everything runs smoothly.

    + Communication Skills: Clear and concise communication, both written and verbal, is key to helping our team and clients stay on the same page.

    + Customer Service: You’re dedicated to providing excellent service to both clients and internal teams.

    + Adaptability: You are flexible and ready to take on new challenges, especially as the firm grows.

    Qualifications:

    + Strong written and verbal communication skills.

    + Proficiency in MS Office, G Suite, QuickBooks (Online & Desktop)

    + Ability to handle sensitive and confidential information with discretion.

    + Highly organized and detail-oriented.

    Compensation & Benefits:

    + Hourly Rate: $22-$23/hour DOE

    + Bonus Structure: Annual bonus available based on performance and merit.

    + Phone Reimbursement: $35/month.

    + Unpaid Leave: As needed with prior approval.

    + Flexible Schedule within reason
