We have an exciting opportunity for anTechnical Records Specialist 2position. This position will require working in a specified physical office location, but may also have the option to do limited hybrid telecommuting between home and an office location depending on business need.
As an Technical Records Specialist 2 in the Division's Administrative Support Team, we are looking for a qualified individual who can perform complex secretarial, office administration and public relations assignments. This person will provide administrative support to the Division's Management Assistant and leadership, councils, committees, and workgroups which involves ongoing interaction with the public, executives, other agencies and government officials. This person will also be the Public Records Request custodian for the Division. Strong problem solving and communication skills are essential for this position.

This is a statewide position and will report to their nearest DHW location.
This position may be eligible for limited telework after successful completion of probation and necessary training. Approval to telecommute is not guaranteed and subject to termination at any time.

EXAMPLE OF DUTIES:
+ Serves as the backup for the Division’s Management Assistant to ensure business continuity when necessary.
+ Provides support for the Division's Deputy Administrator and Quality Assurance/Improvement Program Manager.
+ Leads the Division's Quality Review Family Survey distribution process which includes development mailing lists, tracking status of surveys, and annual distribution.
+ Manages Public Records Request Administration including distribution, tracking and closeout, as well as maintaining a high level of confidentiality while ensuring public records statutes are followed.
+ Manages scheduling and logistics for numerous meetings which includes developing agendas and distributing to meeting attendees, ensuring meeting agendas and notices that fall under the Open Meeting Laws are posted as required, compiling and distributing training/meeting documents to meeting attendees prior to the meeting.
+ Researches, analyzes, and compiles information to prepare reports, budgets, handle complaints or resolve problems.
+ Responsible for financial transactions such as reconciling credit card purchases.
+ Composes correspondence for leadership on own initiative or from general instructions and format/type a variety of executive, sensitive, confidential, official, and/or legal documents.
MINIMUM QUALIFICATIONS:
You must possess all the minimum qualifications below to pass the exam for this position. + Experience monitoring record systems to identify and correct errors. Typically gained by at least one year of related experience.
+ Experience interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs. Typically gained by at least one year of experience which frequently required interpreting and applying a variety of difficult rules, regulations, or policies to determine compliance or eligibility and explaining decisions to others. Decisions are complex and can affect the social or economic well being of others or will result in a service or action being denied.
+ Experience analyzing information and researching a variety of sources to identify and resolve problems or issues. Typically gained by at least one year of extensive research and analysis of highly complex or technical material requiring in-depth program knowledge in order to determine if requirements were met and if they complied with established laws and/or policies. Research must have included contacting a variety of sources both inside and outside the organization to collect, obtain, and verify information and determine the appropriate course of action.
+ Experience dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations. Typically gained by at least one year experience dealing with individuals from varying cultural and socioeconomic backgrounds in stressful situations which dealt with personal, sensitive, or confidential information such as eligibility requirements, health issues, or financial matters.
+ Experience entering and retrieving data using a computerized record system. Typically gained by at least six months of experience in a work setting where it was required to enter and retrieve data in a database records system or other computer records system.
+ Experience composing and proofreading business correspondence. Typically gained by at least one year of office experience which required composing and proofreading a variety of business documents on a regular basis OR successful completion of at least one college-level English composition or business English class AND six months of experience composing business documents.
