Job Description
General Scope of Duties
The Welcome Center Coordinator serves as the first point of contact for prospective students, families, and campus visitors, delivering exceptional customer service and administrative support to ensure a welcoming and informative experience. This role is responsible for managing daily front-desk operations, coordinating campus visits and group tours, and supervising student staff. The Coordinator also supports the recruitment efforts of the Admissions Office by maintaining visitor materials, coordinating logistics for events, and ensuring smooth communication between departments.
General Duties and Responsibilities
Priority Duties and Responsibilities:
+ Provides information and excellent customer service to campus visitors, walk-ins, prospective students and their parents/families.
+ Answers the admission department telephone and personally provides information and assistance to callers as well as reference to the appropriate offices and other college staff and faculty in a helpful and friendly manner.
+ Hires, trains, and supervises student Front Desk Assistants, who are responsible for front desk support and office responsibilities.
+ Monitors and maintains lobby recruitment literature and coffee area inventories; submitting purchase orders via CTW One Source as necessary.
+ Manage logistics of special group visits including tours for high school groups, community based organizations ( CBO ), and special group visits. This includes developing events in Slate, the admission office CRM /event management system, and coordinating with external and internal contacts for event planning.
General Duties and Responsibilities:
+ Serves as building liaison to the Facilities department for building work orders.
+ Serves on office committees related to campus visits, student employees, special event programming.
+ Attends admission division staff meetings and is prepared to report on management tasks that were previously assigned.
+ Assists in preparation and implementation of mailings and data-entry as needed.
+ Serves as a point of contact and support figure for all student employees involved in campus visits, including tour guides and student interviewers.
+ Monitors the cleanliness, appearance and functionality of the lobby, restrooms, and other guest spaces and liaises with cleaning and facilities staff as necessary.
+ Other duties as assigned or as necessary.
Education and Skills
+ High School Diploma required with 1-3 years of related experience
+ Strong written and verbal communication skills
+ Ability to interact well with a variety of people from all walks of life
+ Ability to work effectively with people in a variety of roles within the College and community
+ 4Ability to work well with and manage a team of student workers
+ Proficient in Microsoft Office, Excel and/or the equivalent Google tools
+ High integrity needed to handle confidential information
+ Knowledge of general office equipment
+ Attention to detail
+ Well-organized, able to work under pressure, plan and accomplish goals
+ No travel required
+ Occasional weekend and evening work required
