Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
+ At least one (1) year full-time experience providing administrative support in a professional office environment.
+ Ability to maintain the Executive Director’s calendar and schedule.
+ Ability to communicate effectively by creating clear, concise, and grammatically correct work in reports, memos, emails, and in-person and telephone communications.
+ Ability to manage multiple priorities, meet deadlines, and maintain attention to detail.
+ Demonstrated discretion and confidentiality in handling sensitive issues and information.
+ Proficient in Microsoft Office software, including Teams, Excel, Word, Outlook, and PowerPoint.
+ Demonstrated ability to work independently and in collaboration with others.
+ Experience maintaining calendars and schedules
Preferred Qualifications
+ Three (3) years of full-time experience providing administrative support in a professional office setting.
+ Experience working in a university setting.
+ Knowledge of Texas State University policies and procedures.
+ Knowledge of university systems (e.g., Banner, SAP , Concur, or similar systems).
+ Knowledge of Adobe Sign software
+ Bachelor’s Degree
Job Description
The Administrative Assistant III provides high-level administrative support to the Executive Director of Housing and Residential Life, serving as the primary point of contact for departmental operations. This role is responsible for maintaining accurate records, coordinating room reservations, preparing essential reports and documents, and supporting day-to-day office functions.
Job Duties
+ Provide high-level administrative support to the Executive Director, including calendar management, record keeping, and supply ordering.
+ Prepare and distribute agendas, memos, reports, presentations, and other documents.
+ Manage all room reservations for the Housing and Residential Life office building.
+ Coordinate bookings for meetings and events, maintain up-to-date reservation schedules, and resolve scheduling conflicts to optimize space utilization.
+ Serve as the communication point for staff and stakeholders, greeting visitors, handling calls, answering questions, and performing general office support.
+ Coordinate and contribute to special projects; compile, analyze, and report data; liaise with other departments and stakeholders as needed.
+ Perform other duties as assigned to ensure smooth departmental operations.
