JOB OVERVIEW
MartinFed has an opening for an Administrative Assistant to join our team of talented and diverse individuals. The Administrative Assistant works under general supervision and will serve as the primary point of contact for all essential matters pertaining to the Battalion Commander and the Sergeant Major of the Strength maintenance Training Battalion.
The Administrative Assistant will be responsible for examining and verifying documents, preparing routine correspondence, and maintaining files. In addition, the position is responsible for grading in Blackboard or SMTB's system of record, completing line score waivers, and exception to policies for all courses. The individual must display the ability to make executive decisions quickly, communicate effectively, and always maintain professionalism.
ESSENTIAL FUNCTIONS
+ Maintains the SMTB Commander, SGM, COR and DOT's appointment schedule by scheduling meetings and planning through booking conference spaces, ensuring meeting rooms are properly equipped, and coordinating with meeting attendees.
+ Assists Cmdr/SGM's with meeting agenda preparation through preparing slides, editing, revising presentation materials, and being a source of ideas and recommendations.
+ Communicates clearly and effectively with the PEC Commander, the SMTB Commander, their SGMs and staffs to keep each well informed of upcoming commitments and responsibilities.
+ Assists SMTB Leadership with travel arrangements, manages agendas, provides necessary contacts, and other necessary preparations.
+ Completes a wide variety of organizational support for the SMTB Staff, including drafting and typing correspondence, preparing accurate and timely expense reports when requested.
+ May be called upon to assist the Operations Team with supplies, inventory, and accountability.
+ Primary individual responsible for SMTB daily personnel accountability, tracking, and reporting.
OTHER DUTIES:
+ Principal member of the OPN/TMAT Team with duties and responsibilities for creating & correcting documents and/or correspondence, maintaining calendars, etc.
+ Admin duties may include but limited to researching, collecting, documenting, verifying, and notifying instructors, students, and leadership on student and course records, examination grading, and certificates productions.
+ May provide backup support and assistance to other SMTB military, civilian, and contract staff.
+ May plan, organize, communicate, and implement special military and/or contractor events.
+ Other duties as assigned by Program Manager, OPN Team Chief, and SMTB Leadership.
QUALIFICATIONS
+ Hold a High School Diploma or documented equivalent such as a G.E.D.
+ 1 to 3 years of professional administrative experience.
+ Experience using Adobe Professional, Microsoft Office (PowerPoint, Excel, Word), MS Teams, and SharePoint.
+ Excellent time management skills and the ability to prioritize work.
+ Attention to detail and problem-solving skills.
+ Excellent written and verbal communication skills.
+ Strong organizational skills with the ability to multi-task.
+ Discretion and confidentiality.
DESIRED QUALIFICATIONS
+ Bachelor's Degree preferred.
PHYSICAL REQUIREMENTS & ENVIRONMENTAL CONDITIONS
+ Physical Requirements: Work is usually performed sitting at a desk, in conferences, briefings, meetings, etc. Individual experiences typical ergonomic physical demands associated with heavy daily personal computer usage. No special physical demands are involved in performing the work.
+ Environmental Conditions: The work environment involves everyday risks or discomforts requiring normal safety precautions in typical office settings. The work area is adequately lighted, heated/cooled, and vented.
