GENERAL DUTIES
- Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.
- There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as
needed.
- Maximum tenure for any employee in this hourly position is 1040 hours per year.
- Performs routine clerical work; may answer and attend to telephone calls; maintain records,
operate office machines (such as copier), sort and distribute mail, issue keys and identity cards,
act as messenger, and perform related tasks as required.
- Types letters, memoranda, charts, and similar materials.
- Acts as cashier.
- Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.
- Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.
- Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.
- Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.
- May operate computers, computer software, and other electronic equipment in performing assigned tasks.

The Graduate Center (GC) benefits from highly ambitious and diverse students and alumni-who in turn teach hundreds of thousands of undergraduates every year. Through its public programs, the Graduate Center enhances New York City's intellectual and cultural life.
The Office of Fellowships and Financial Aid is responsible for providing in excess of $51 million in financial aid for students attending three CUNY colleges: The Graduate Center, The Craig Newmark Graduate School of Journalism, and the School of Labor and Urban Studies. Our office is responsible for administrating the Graduate Center’s Student Emergency Grant program. We receive approximately 150 applications per year and fund approximately 100 of those requests.
The Office of Fellowships and Financial Aid is seeking a College Assistant to provide administrative support to the office. The incumbent will work in the office for up to 20 hours per week (over 2-3 days, Monday through Friday, 9am to 5pm). This role is for 809 hours for the current fiscal year (through June 30, 2026), and 1040 hours per year thereafter.
Reporting to the Associate Provost and Dean of Financial Aid, the College Assistant will perform the following responsibilities:
-Tracking emergency grant applications in an internal application submission site and preparing weekly applications for committee review
-Organizing documents and reaching out to students to provide further context about their emergency situations prior to committee review
-Notifying students of emergency grant committee decisions and communicating with them throughout the grant payment process
-Collecting required documents (bank information, residency status, student information, etc.) from grant recipients to allow for payment.
-Contacting third party vendors for W-9 forms for direct-to-vendor payments
-Preparing payment requests with necessary documentation for Executive Director’s approval.
-Working with the Business Office to ensure timely payment of funds and organizing students’ documents.
-Assist with responding to donor requests for information and annual reports.
-Communicating with Development, Communications and donors to strategize methods to inform students about emergency grant funds
-Assist with marketing and communications plans so GC students are aware of emergency grants available to them.
-Other duties as assigned.

- Must demonstrate sufficient skills to perform the duties of the assigned tasks.

COMPENSATION
$20 per hour
