    Description

    The Facilities Coordinator is responsible for helping ensure the safety and security of the facility, its employees, and visitors. This role involves overseeing security access and making sure facilities have items needed for employees to do their jobs successfully. This role is also responsible for managing the financial and administrative aspects of facility operations, such as tracking, approving and coding invoices from utility providers and other vendors. The goal is to support the Facilities Manager by efficiently coordinating maintenance activities and ensuring smooth facility operations. Management of work orders for facilities technicians.

    Requirements

    Duties and Responsibilities

    + Issue and track all keys, remotes, and access cards for all facilities.

    + Locksmithing: Re-key and change locks, Cut Keys.

    + Monitor the cameras and review footage when needed. Audit the camera system monthly to ensure all cameras are functioning properly.

    + Communicate with law enforcement and emergency services as needed.

    + Track and report all facilities expenses for each branch to the Facilities Manager monthly.

    + Manage and track invoices, approving and coding them in a timely manner.

    + Create purchase orders and ensure all invoices are approved and submitted promptly.

    + File/Track all environmental documentation. Assist in ensuring the company complies with state regulations.

    + Manage vendors such as waste management, break room suppliers, etc. As well as making sure that break rooms are appropriately stocked.

    + Open, assign, and close work orders in our work order system.

    + Work with vendors on scheduling repairs and maintenance.

    + Act as a contact for employees and vendors to the facilities department.

    + All other administrative duties and assigned by the Facilities Manager.

    + Performs all other duties as assigned

    Qualifications

    + High school diploma or GED required.

    + Strong leadership and team management skills.

    + Excellent communication and interpersonal skills.

    + Proficiency in security systems and surveillance equipment.

    + Ability to handle emergency situations calmly and effectively.

    + Strong problem-solving and decision-making abilities.

    + Strong organizational skills and follow-through to make sure things don’t slip through the cracks.
