Job Description
The main purpose of this position is to support the research mission of Boston College and the goals of Research Finance.
This position is an integral partner in a sponsored programs administration team that will:
• Reviews awards for administrative, budget and compliance requirements and creates accounts in InfoEd and PeopleSoft.
• Facilitates the receipt of all fully executed externally sponsored awards.
• Conducts a review of all notice of awards to document the administrative, budgetary and compliance concerns.
• Oversees and tracks the internal award setup business process to ensure all sponsored activity is completed in a timely fashion.
• Enters award setups and other actions within PeopleSoft and InfoEd.
• Assists with database and system testing for various implementations and upgrades.
• Assist with training and assigning work to student staff.
• Directly answers inquiries from Faculty, Department Research Administrators and other staff within Research Finance and the Office for Sponsored Programs. • Manages award intake metrics for the office of Research Finance including data analysis and integrity.
• May support special projects under the direction of the Associate Director, as needed.
Reporting to the Associate Director of Sponsored Award Intake, the Sponsored Award Intake Associate is responsible for setting up a variety of executed awards after a successful proposal at Boston College. This role ensures compliance with institutional policies, federal regulations, and sponsor guidelines. The Sponsored Award Intake Associate supports Boston College principal investigators and their departments in the administration of awarded projects by managing the financial interactions with sponsors and assuring compliance with university and sponsor policies.
Work on policies and procedures related to Research Finance. Most have proven ability to independently identify and solve complex problems by working in collaboration with faculty, departmental administrators, higher administration, and sponsoring agencies. Importantly, the incumbent must be able to maintain strict confidentiality. Must have an ability to manage with independence and latitude – along with the ability to set priorities and execute one’s responsibilities with skill and effectiveness. May supervise students and/or other junior professional staff members.
Salary commensurate with relevant experience based on the following full-time equivalent hiring range:
Award Intake Associate: $62,350 - $77,950; 1-5 years experience
Requirements
Requirements:
Bachelor’s degree required. Knowledge of Federal regulations for managing higher education research administration. Proficiency in financial management systems and research administration software (e.g., Oracle, PeopleSoft, or Workday). Ability to manage a complex workload with multiple competing demands and intense deadline pressure. Excellent interpersonal and communication skills, with the ability to work effectively across multiple departments and with external stakeholders. Effective communication and interpersonal skills, with a customer-service-oriented approach. Willingness and interest in participating in professional research administration organizations.
Preferred Qualifications:
Certified Research Administrator (CRA) or other relevant certifications. Familiarity with university setting and policies related to sponsored projects, as well as experience in working with federal, state, and private funding sources. Demonstrates the drive to learn and solve financial and administrative issues. Experience with systems PeopleSoft and InfoEd. Continuing professional education as provided by professional organizations (NCURA, SRA, etc.).
