    Status: non-exempt,Part-Time or Full-Time Hourly

     

    Wage: $19/hr or doe

     

    Hours: 20-40 hours per week

     

    Schedule: Variable, depends on sports season and needs of the Y, includes evenings and weekends

     

    Reports to: Director of Sports & Activities Revision Date: 9/2025

     

    Probation: Subject to a 12-month introductory (probationary) period

    POSITION SUMMARY:

    The Sports & Activities Coordinator organizes daily operations of the YMCA Youth Sports programs, clinics and camps. The Sports and Activities Coordinator assists with the preparation and management of the Y’s sports leagues. This coordinator will also spend time directly teaching and coaching various clinics and classes. This position helps to facilitate some of the largest programs at the YMCA, and is directly responsible for dealing with thousands of participants, volunteers, and members. This position is very visible with direct impact on the reputation of the Missoula Family YMCA. Must be able to thrive in an environment with the unique challenges of a non-profit community service organization. Works with general supervision.

    ESSENTIAL FUNCTIONS:

    + Adhere to the mission of the YMCA at all times and implements the Y Core Values of caring, honesty, respect and responsibility in all Y Sports and Activities

    + Ensure quality and safety are always at the forefront of all youth programs. Lead by example and hold staff accountable to maintain YMCA quality and safety standards

    + Manage daily staff schedules and execution of Youth Sports Clinics and programs

    + Prepares lesson plans and equipment for Youth Sports program instructors

    + Will instruct programs as needed for Youth Sports clinics and programs as the primary instructor or supporting instructor (may include evenings and weekends.)

    + Assists with the preparation of each youth sports league season which includes, but is not limited to, recruiting volunteer coaches, building team rosters, creating schedules, and building coaches packets

    + Required attendance on the day of the league coaches meetings and coaches packet pick up

    + Required attendance on youth sports league game days to assist with set-up and tear down (includes evenings and weekends)

    + Will fill in as a referee or score keeper as needed on league game days

    + At the discretion of the Sports and Activities Director, facilitates the implementation and logistics for certain leagues, tournaments, clinics and programs (ex. Adult Basketball league)

    + Assists with managing the inventory and organization of league equipment and supplies

    + During summer months serves as a coordinator for all summer camp programs. Responsibilities include, but are not limited to, updating camp rosters, creating daily lesson plans, preparing camp equipment, shopping for camp supplies, organizing camp events, transporting participants in YMCA vehicles, and serving as “Manager on Duty”

    + Manages the scheduling app for the YMCA gym spaces

    + Support in the organization of special events including, but not limited to, Healthy Kids Day, Riverbank Run, and Annual Meeting

    + Know and enforce emergency procedures and safety regulations in order to ensure participant safety

    + Clean and maintain the office space, closets, buses and surrounding areas

    + Communicate effectively with the Welcome Center and other YMCA employees to ensure accurate program registration information

    + Maintain evening program/office hours as needed for programs

    + Ensure a safe environment for all members and non-members using any part of the facility

    + Completes required child sexual abuse prevention training and complies with legal and ethical obligation as a mandatory reporter of suspected child abuse and cooperate fully with any investigation of such abuse

    + Performs other duties as assigned

    Requirements

    QUALIFICATIONS:

    Required: High school diploma or equivalent

     

    Required: Certification in CPR & First Aid, Child Abuse Prevention Training, and Listen First – can be obtained at the YMCA

     

    Preferred: Bachelor’s degree in subject related to sports, physical fitness, or education.

     

    Preferred: Experience working with children

     

    Preferred: Experience coaching and officiating youth sports

    + Must be able to communicate clearly to all children, parents, members and company personnel

    + Ability to attend all trainings and meetings as required, even if scheduled outside normal working or regular scheduled hours

    + Present a clean, well-groomed appearance

    + Ability to walk, stand, and sit (including on the floor) for long periods of time

    + Exposure to communicable diseases and bodily fluids

    + Occasionally must be able to lift and carry supplies and equipment weighing up to 75 pounds

    + Frequently requires bending, leaning, kneeling, lifting and walking
