Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
+ Minimum of two years of administrative support experience in higher education or related field.
+ Advanced proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
+ Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks efficiently in a fast-paced environment.
+ Excellent written and verbal communication skills, including drafting professional correspondence.
+ Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
+ Experience working in a higher education environment, with familiarity with university systems and organizational structure.
+ Knowledgeable of TSUS Rules and Regulations as well as university and Academic Affairs policies and procedures.
Preferred Qualifications
+ Bachelor’s degree from an accredited institution.
+ Proficient in Applicant Tracking Systems ( ATS ), SAP , and HRIS platforms.
+ Experience with faculty qualifications as required by accrediting agencies recognized by the U.S. Secretary of Education ( DOE ) or the Council for Higher Education Accreditation ( CHEA ).
+ Experienced in using Dynamic Forms for administrative and workflow processes.
Job Description
The Administrative Assistant III provides essential administrative support to the Faculty and Academic Resources office. This role supports a range of faculty-related processes, including onboarding, reporting, and maintaining records, while assisting with special projects and contributing to clear communication and the efficient day-to-day operations of the office.
Job Duties
+ Deliver excellent customer service by answering and screening incoming calls, greeting visitors, and responding to inquiries from staff, faculty, students, and guests with accurate information.
+ Prepare, compose, type, and proofread accurate and timely reports, correspondence, meeting minutes, spreadsheets, and other required documents.
+ Manage and update web content for the Faculty and Academic Resource site to keep information current.
+ Maintain and review faculty personnel files for completeness and compliance.
+ Monitor deadlines for assignments and projects to ensure timely completion.
+ Support the Director of Faculty and Academic Resources with special projects and initiatives to ensure successful completion.
+ Prepare the quarterly Board of Regents faculty report with attention to detail.
+ Assist with the tenure and promotion process by tracking timelines and notifying faculty.
+ Support the Presidential Excellence Award process by tracking progress and communicating with faculty.
+ Perform other duties as assigned to support the office and organizational objectives.
