    The Administrative Assistant will be responsible for managing the schedules of Head of Television and VP, Development and liaising with UK-based Executives to manage meetings. This role will be the point of call for the Working Title Television department in the Working Title US Office on the Universal Lot.

    Duties will include but are not limited to the below:

    Calendar management and scheduling:

    + Manage schedules for Head of Television and VP, Development

    + Set meetings internally and externally, be it project specific or general meetings with writers/directors and general support for the Creative Execs.

    + Liaise with UK Executive’s offices and ensure certain meetings/calls are added to their diaries and vice versa

    + ‘Front of house’ duties when welcoming people for TV meetings.

    + Act as the first point of contact for Working Title development department on calls and ensure that messages are passed on and dealt with professionally.

    + Run through US exec team diaries daily and prompt meeting prep (i.e. read/watch various material)

    + Take minutes in internal departmental meetings and ensure that any tasks that arise are being actioned and followed-up.

    + Liaise with Universal International Studios (UIS) regarding weekly and monthly meetings.

     

    Submissions & Creative Materials

     

    + Support the development team with managing the submissions log.

    + Cover material and writing coverage when assigned, including writing synopses and providing informed feedback.

    + Organize materials to ensure that the TV and Film development teams can access remotely.

    + Proofing new drafts as soon as they come in and amending/editing any typos using Final Draft.

    General Admin/Creative:

    + When necessary, cover screenings/events and report back in a timely fashion, highlighting any recent film, tv, theater news/reviews/general information that might be of interest and relevance to the wider Film and TV departments.

    + Liaising with high-profile talent to arrange their national/international travel and accommodation

    + Organizing exec travel when going on business trips or to events and festivals, and to and from set / production visits.

    + Updating our general writers and directors long-lists.

    + Organizing and submitting exec expenses.

    + Lunch and coffee run from time to time.

    Basic Requirements

    + Minimum 2 years of experience as an assistant

    Desired Characteristics:

    + An individual who thrives in a busy and varied creative environment

    + Previous experience at an agency or a buyer a plus

    + Demonstrated knowledge of established and emerging talent in the Film & TV industry

    + Strong organizational skills, a ‘can-do’ attitude and ability to demonstrate confidentiality and discretion

    + A keen interest in Film and Television is expected but wider creative industry interest is welcome.

    + Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
