GENERAL FUNCTIONS
The Executive Assistant shall provide administrative staff support to the President and the Board of Trustees of the College. In this capacity, the Executive Assistant will assume all the usual executive secretarial responsibilities, maintain all files, assist in the preparation of special reports and budgets, and supervise any support staff employed in the President's Office. The Executive Assistant will serve as liaison between the President, the Board of Trustees, and the College community.
SPECIFIC RESPONSIBILITIES
+ Assist the President in all administrative functions of the office. Manage the President's calendar, meetings, and appointments.
+ Attend all monthly Board of Trustees meetings. Prepare the agendas, resolutions, and other documents of the Board of Trustees.
+ Record the minutes of the regular and special meetings of the Board, prepare the minutes for signature of the Board Chair and Secretary of the Board, and distribute them to the members of the Board.
+ Prepare for the President's review and action, any correspondence or related documents necessitated by action taken at Board meetings, such as appointment and promotion letters, resolutions to be forwarded to the County Legislature, etc.
+ Coordinate travel, accommodations, and activity arrangements for the President and members of the Board of Trustees for special events, board retreats, conferences, graduations, meetings, inaugurations, etc.
+ Assist with the orientation efforts and onboarding of new Vice Presidents and Trustees.
+ Prepare correspondence for the President's review and signature as appropriate.
+ Prepare college newsletters (written and/or electronic) for distribution to College community.
+ Assist with the President's List for Fall and Spring Semesters, issue letters and certificates to students from the President.
+ Work with the Academic Deans and the Vice President for Academic Affairs/Provost in submitting appropriate paperwork (hard copy and/or electronically) to the State University of New York for new program curricula, General Education course additions/deletions, and other academic program actions.
+ Coordinate annual application process for President's Innovation Award grant program. Serve as the point of contact for the annual Chancellor's Award processes and any other awards originating from the President's Office.
+ Prepare annual summary of personnel eligible for continuing appointments for the Board of Trustees review.
+ Serve on the President's cabinet. Prepare the agendas and attend meetings of the President's cabinet and prepare minutes for distribution.
+ Participate on College committees as appropriate.
+ Manage the college's webpages related to the Office of the President and Board of Trustees. Coordinate related projects as assigned.
+ Maintain the official Procedures of the College; and distribute all revisions to appropriate offices when necessary and ensure inclusion on the College's internal website.
+ Maintain the official Board of Trustees policies, and update copies in the President's Office, the Library, and the internal College website when necessary.
+ Interface with members of the Genesee County Legislature, the President's Cabinet, and the College community.
+ Coordinate the work of support personnel employed in the President's Office, including the maintenance of all files, assuring effective receptionist and telephone coverage; scheduling of meetings and appointments and all other routine functions of this office.
+ Assist in preparing and monitor the budget for both President and Board of Trustees. Oversee all processes related to purchases and expenses.
+ Participate in professional development as appropriate.
+ Fulfill any other duties as assigned by the President.
Job Requirements:
EDUCATION
Associate's degree required; Bachelor's preferred. A substantial amount of work in the areas of major responsibilities beyond the levels outlined below may be an acceptable substitute for the degree requirement.
EXPERIENCE
Five to seven years' administrative experience. Must be an advanced user of Microsoft Office Suite, including Word, Excel, PowerPoint etc. Knowledge of Microsoft 360, including Teams is preferred, verbal and written communication, and organizational skills.
KNOWLEDGE SKILLS AND ABILITIES
Ability to organize and prioritize a very demanding work environment for the smooth operation of routine and confidential office functions. Ability to work independently on staff projects, draft legal and official documents and communications, such as minutes of the meetings of the Board of Trustees, resolutions for the Board of Trustees, and College reports. Must be articulate, possess strong human relations skills, and be able to interact effectively with all levels of the internal and external College community. Ability to work in a collaborative environment and demonstrate sensitivity to people with diverse backgrounds.

RELATIONSHIPS:
This position reports to the President, and through him to the Board of Trustees.
SALARY AND CONDITIONS OF EMPLOYMENT:
This position is designated as managerial/confidential and is not represented by a bargaining unit. Conditions of employment are governed by Procedure 230. Compensation is set at $75,798.59. Some nights and weekend hours are required.
