The working schedule for this position 9AM -5PM Monday through Friday.
Who We Are
ACC is one of the nation’s largest open-admission animal shelters, whose mission is to End Animal Homelessness in NYC. We touch the lives of nearly 30,000 animals each year. ACC is more than an animal shelter; we are a resource to the community, always seeking ways to keep the human-animal bond intact. With a 90% placement rate, our progressive, life-saving initiatives contribute to the successful placement of our animals.
We strive to find loving homes for homeless and abandoned cats, dogs, guinea pigs and rabbits, both by adopting animals directly to the public and by partnering with more than 200 dedicated animal placement organizations (our New Hope partners). We also help keep NYC communities safe and rescue animals in need, responding to emergencies that involve animals as well as keeping our doors open 24/7 for people and animals in need.
Summary
The Supply Chain Coordinator is responsible for the end-to-end coordination of supply and inventory activities across multiple animal care center locations. This includes ordering, receiving, organizing, and distributing a wide range of materials such as medical supplies, donated goods, and essential shelter needs. The role also includes transportation logistics and quality assurance responsibilities. This position involves a significant amount of driving across the five boroughs of NYC, requiring someone who is detail-oriented, organized, proactive, and capable of handling both administrative and physical tasks.
Required Qualifications:
+ High School diploma or GED required.
+ Valid driver’s license required.
+ Ability to sit/drive for extended periods as required by travel between multiple locations in the tri-state area.
+ Comfortable working in field-based roles and lifting/moving heavy inventory items.
+ Ability to multitask, manage time efficiently, and meet deadlines.
+ Proficiency in Microsoft Excel and other inventory or procurement platforms.
+ Strong organizational and communication skills.
+ Must be able to lift a minimum of 50 lbs.

Essential Job Functions:
+ Create and process purchase orders for all departments and care centers, including items such as litter, toys, treats, and other supplies.
+ Receive, unbox, log, and store all deliveries and donations promptly and accurately. Distribute items to the corresponding department and restock storage units.
+ Process inventory transactions in the accounting system (NetSuite), including consumption, transfers, and adjustments.
+ Transport supplies, equipment, documents, and miscellaneous items between care centers, headquarters, and coordinate pickup of donated items from external vendors.
Other Responsibilities:
+ Supply Chain:
+ Establish a weekly transport schedule for supplies pickup, transfer, and determine appropriate delivery logistics across locations, utilizing Zendesk (ticketing system).
+ Organize and maintain internal and external storage units for all care centers.
+ Coordinate with Veterinary Services disposal of controlled substances and tracking of the value of discarded items.
+ Assist with monthly quality assurance checks at all locations; log and dispose of expired items.
+ Drop off outgoing shipments to FedEx and UPS as needed.
+ Keep the company vehicle clean, organized, and in good working condition by coordinating necessary maintenance with the fleet supervisor.
+ Administration and Reporting:
+ Work closely with the Purchasing Specialist to identify and resolve discrepancies between purchase orders and physical inventory.
+ Keep an up-to-date Wishlist, donation, and gift card tracking system (Amazon, Chewy).
+ Collect and send Wishlist vendor receipts to the Development department.
+ Support the Supply Chain Supervisor with the upload of daily operational data and maintain organized digital records (e.g., Teams, G Drive).
+ Complete other duties as assigned by supervisor in timely fashion, including company trainings (e.g., Fear Free; Harassment; Defensive Driving).
Preferred Qualifications:
+ Associate’s or Bachelor’s degree in Business Operations, or related field preferred.
+ Experience in supply chain, logistics, or inventory management preferred.
+ Familiarity with animal welfare or shelters, veterinary supplies, or nonprofit logistics is a plus.
Work Environment
At ACC it's all hands-on deck. We work together as a team, which means you may be asked to help with tasks that involve working outside in all sorts of weather. As a busy animal shelter in one of the biggest cities in the world it can get noisy inside. Employees should have the ability to remain calm yet professional in stressful situations involving animals and/or members of the public. ACC houses hundreds of animals in its facilities at any given time and with that comes fur, odors and other airborne particles in abundance.
ACC offers many low-cost services to pets and people in need. This includes compassionate end-of-life services for people who cannot afford to go to a private veterinary office but still want to provide a professional and peaceful transition for their beloved pet.
Reports To: Finance Department
Overtime: This is a non-union position and is eligible for overtime.
