+ The Grants Manager oversees a portfolio of research grants and contracts, ensuring accurate submissions, responsible stewardship of funds, and compliance with federal and sponsor requirements. Serving as the research grants subject matter expert, this role also drives improvements to internal systems and processes that enhance efficiency and strengthen compliance across Fenway Health’s grants and contracts enterprise.
Your Primary Role
Grants Expertise and Stewardship
+ Serve as Fenway Health’s subject matter expert on research grant regulations, policies, and best practices, with a focus on federally funded research (e.g., NIH, CDC, HRSA, SAMHSA).
+ Maintain up-to-date knowledge of federal, state, and private sponsor rules to ensure compliance and competitiveness in funding applications.
+ Provide guidance and support to program staff, faculty, and internal partners on sponsor requirements, proposal development, and award management.
+ Support the Director of Grants and Contracts Administration in streamlining grants administration processes and implementing operational efficiencies across Fenway Health, leveraging prior experience with federal grants management to enhance systems, policies, and workflows.
+ Provide training for PIs and Project Managers on grant and finance processes (e.g., allocations reporting, expense tracking, contracting).
Pre-Award Grants and Contracts Management
+ Oversee pre-award activities in collaboration with department leadership and faculty, ensuring timely, compliant, and competitive submissions.
+ Coordinate application development and submission processes, including timelines, subcontract components, Just-in-Time requests, and federal system submissions (Grants.gov, eRA Commons, ASSIST).
+ Draft and execute consultant agreements and subcontracts with internal and external collaborators.
+ Maintain knowledge of online grant funding and submission platforms.
Post-Award Grants and Contracts Management
+ Manage a portfolio of awarded grants and contracts in compliance with federal (e.g., OMB Uniform Guidance, NIH, GPS, etc.), donor, and Fenway Health requirements.
+ Partner with grant accountants to establish budgets, review expenditures, and ensure costs are accurate, allowable, and timely.
+ Monitor budget activity and projections; collaborate with PIs/Project Managers to resolve variances and submit amendments, carryovers, or no-cost extensions.
+ Coordinate contract execution, reporting, closeout requirements, and subrecipient monitoring.
Financial and Administrative Management
+ Collaborate with Finance and Accounting teams on reconciliations, audits, and organizational reporting on an ongoing basis.
+ Develop budget and revisions; Monitor budget activity and develop spending projections.
+ Partner with grant accountants to review budgets and monthly spending reports for accuracy, allowability, allocability, and burn rate.
+ Collaborate with PIs/Project Managers to ensure appropriate burn rate and accurate effort allocations.
+ Ensure timely submission of sponsor actions such as revisions, amendments, carryovers, or no-cost extensions
Requirements
+ Bachelor’s degree in finance, accounting, public administration, or a related field; or 5+ years’ experience in federal and research grants management.
+ Minimum of 3–5 years of progressively responsible experience in federal grants and contracts administration (HRSA, SAMHSA), preferably with federally funded research (NIH, CDC).
+ Strong knowledge of OMB Uniform Guidance and federal grant compliance requirements.
+ Demonstrated experience in both pre-award (proposal preparation, budgeting) and post-award (financial monitoring, reporting, closeout) functions.
What Will Set You Apart
+ Certified Research Administrator (CRA), Certified Pre-Award Research Administrator (CPRA), or Certified Financial Research Administrator (CFRA). Candidates without certification will be expected to pursue appropriate certification or advanced training, with a timeline to be determined upon hire and support from Fenway Health
+ Completion of NIH, HRSA, or other federal agency’s grants management training.
+ Participation in NCURA or SRAI training programs or certificates.
+ Advanced Excel skills, including creating financial models, analyzing burn rates, and generating reports, and/or using Power Query for data transformation and reporting
This is a union position in a Fenway Health bargaining unit represented by 1199 SEIU United Healthcare Workers East.
