• Accounting and Operations Manager

    Position Overview

    The Accounting & Operations Manager will support the CFO in overseeing accounting functions and daily operations for a luxury residential design-build firm specializing in custom homes. This is a hands-on role with a strong emphasis on accounting, billing, project administration, and overall organizational efficiency. The ideal candidate is detail-oriented, technologically savvy, and confident in communicating with clients, vendors, and team members.

    Key Responsibilities

    + Prepare and process client invoices for new construction projects

    + Prepare and process client invoices for service work

    + Manage AR reports and follow up on overdue balances

    + Set up vendors and maintain compliance documents on file

    + Enter and process accounts payable according to payment schedules

    + Track job costs

    + Process bi-weekly payroll data entry through ADP

    + Maintain payroll records

    + Track government/tax filings in partnership with a senior manager (ADP files reports)

    + Draft, review, and manage contracts and change orders

    + Organize and maintain project files

    + Manage vendor files and compliance documents

    + Support team members with permitting and inspection scheduling

    + Maintain accurate general ledger records in QuickBooks

    + Generate regular financial reports

    + Assist with phones, scheduling, office administration, and management communication

    + Communicate directly with clients regarding billing, contracts, and scheduling

    Requirements

    Qualifications

    + QuickBooks proficiency is required

    + 6+ years of accounting experience (ideally in small/mid size businesses and construction)

    + Familiarity with other accounting and service platforms such as Jobber, HouseCall, or ServiceTitan is a plus

    + Excellent written and verbal communication skills, able to interact confidently and professionally with clients, vendors, and colleagues

    + Strong organizational skills with attention to detail and accuracy

    + Proactive, self-motivated, and able to manage multiple priorities in a fast-paced environment
