Job Summary
The Department of Psychiatry has an exciting opportunity for the newly created position of Research Facilities, Space, and CME Specialist to join our Research Operations team. The successful candidate will support the day-to-day management of research facilities and infrastructure; provide administrative support for space management including our Research Space Committee and annual Space Survey; and coordinate continuing medical education (CME) activities including our weekly Grand Rounds and annual Silverman Conference and Research Town Hall events. This role ensures the efficient operation and sustainability of research space, facilities, and infrastructure and supports the professional development of faculty and staff through CME programming. The position requires collaboration across faculty, staff, and administrative and facilities teams to maintain compliance, streamline operations, and support departmental goals.

Responsibilities*
Research Facilities and Infrastructure Management
+ Serve as primary contact for research areas in the Rachel Upjohn Building; coordinate with clinical building contacts as needed (e.g., cleaning and janitorial services, annual fire drills, building and complex-wide announcements, etc.).
+ Serve as contact for day-to-day operations of research facilities and capital equipment (e.g., sleep lab, centrifuge, mock scanner, ultralow freezers, etc.).
+ Submit tickets in Hospital Facilities, Medical School Facilities, and/or HITS ticketing systems; track ticketing requests, and follow-up to ensure completion of requests.
+ Coordinate maintenance, calibration, and repairs of research infrastructure.
+ Serve as primary contact for biannual capital equipment inventory, maintain records and ensure all capital equipment is accounted for and when appropriate, properly disposed of; coordinate and lead quarterly Property Disposition activities.
+ Serve as our Department's Sustainability Lead; complete survey assessments, participate in sustainability programs, and encourage participation in achieving sustainability goals; implement sustainability initiatives and report progress to leadership.
Research Space Management
+ Provide administrative support to the Research Space Committee including calendar invitations, agenda preparation, and meeting minutes.
+ Coordinate and maintain records of space assignments, moves, and construction projects.
+ Maintain records of furniture acquisitions, moving/trucking activities, and construction work orders.
+ Assist with updating M-Pathways space information, internal floorplan maps, signage for offices, and other items resulting from space moves and faculty/staff hires and departures.
+ Assist with the annual Space Survey for all research spaces within the Department.
Continuing Medical Education (CME) Support
+ Serve as primary contact for CME activities in the Department.
+ Assist with the development and submission of CME applications, disclosures, conflict of interest, compliance, and educational materials; ensure compliance with ACCME (Accreditation Council for Continuing Medical Education) and University of Michigan Office of Continuing Medical Education and Lifelong Learning standards.
+ Coordinate the logistics of department CME activities, including live workshops, conferences, enduring materials, and online modules.
+ Collaborate with faculty and planning committees to develop agendas, learning objectives, and assessment tools
+ Maintain detailed records, including attendance, financial records, and activity evaluations.
+ Facilitate the collection and analysis of participant feedback; generate reports to support program improvement and accreditation review.
+ Support budget planning and post-activity reconciliations.
Event Coordination
+ Coordinate annual Psychiatry Grand Rounds schedule, presentations, and lectures in collaboration with Grand Rounds Chair; coordinate weekly Psychiatry Grand Rounds events.
+ Coordinate and support the annual Silverman Research Conference in collaboration with the Silverman Research Conference Committee.
+ Coordinate and support the annual Research Town Hall in collaboration with the Associate Chair for Research and the Director of Research.
+ Ensure timely communication regarding event updates, registration, and logistical information.
Other Responsibilities

Required Qualifications*
+ Bachelor's degree or equivalent combination of education and relevant work experience
+ Strong computer skills; proficient with Microsoft Office Suite
+ Excellent organizational, time management, and problem-solving skills
+ Strong written and interpersonal communication skills
+ Positive attitude and commitment to exceptional customer service in all aspects of the work
Desired Qualifications*
+ Master's degree or equivalent combination of education and relevant work experience
+ At least 2 years of professional experience
+ Knowledge of CME accreditation requirements
+ Familiarity with the Office of Continuing Medical Education and Lifelong Learning policies and procedures.
+ Prior experience with University of Michigan and/or Michigan Medicine systems and operations
Work Schedule
Full Time, Monday - Friday, specific work hours are negotiable and may need to be flexed depending upon the needs of specific projects and activities.

This position is onsite at our location in Ann Arbor, MI. Free parking is available on location.

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third-party administrator to conduct background screenings.
