Brief Position Overview
Under the direction of the Director of Employee and Labor Relations, serve as the primary resource for managers, Human Resources Business Partners (HRBPs), and employees regarding leave and requests for reasonable accommodations, ensuring alignment with federal and state laws, collective bargaining agreements, and university policies. Oversee the full lifecycle of leave requests related to FMLA , ADA , and other types of leave. Evaluate and make determinations on requests for reasonable accommodation cases for both staff and faculty. Engage in the interactive process with employees and process requests promptly and accurately, maintaining thorough documentation and tracking of key dates, approvals, and communications.

General Statement
The Office of Human Resources projects pride and enthusiasm in support of the University’s mission and strategic plan by providing leadership, guidance, and administration of classification and compensation, recruitment, payroll, benefits, and employee/labor relations in a professional and dedicated manner to the Montana State University Bozeman campus, Agricultural Experiment Stations, and Extension Service.
The ADA and Leave Coordinator is responsible for administering employee requests for workplace accommodations under the Americans with Disabilities Act ( ADA ) and managing all leave programs, including FMLA , state leave laws, and MSU leave policies. This role ensures compliance with federal, state, and institutional policies while supporting employees and supervisors through clear communication, education, guidance, and decision-making. This position plays a vital role in supporting Montana State University’s leave and accommodation processes for faculty and staff. This position is also a key member of the Office of Human Resources, providing expert consultation and leadership while delivering exceptional customer service. Reporting to the Director of Employee and Labor Relations, the position will collaborate closely with Human Resources Business Partners, Benefits and Payroll staff, Worker’s Compensation staff, Campus Civil Rights staff, and Legal Counsel to ensure consistent and compliant leave and accommodation practices across the university.
Duties and Responsibilities
Case Management and Administration
+ Provide beginning-to-end case management as a subject matter expert for reasonable accommodation requests, including administering the interactive process. Assess employee restrictions and accommodation needs in relation to essential job functions and collaborate with HR Business Partners and supervisors to implement solutions that are appropriate for MSU’s work environments and compliant with the Americans with Disabilities Act.
+ Provide case management as a subject matter expert on all types of leave for faculty and staff, including FMLA , ADA , and other leave categories. Interpret and apply federal and state laws, university policies, and collective bargaining agreements.
+ Provide expert guidance on complex leave and accommodation matters, often in coordination with Human Resources Business Partners, Workers’ Compensation, and labor relations staff.
+ Maintain accurate and confidential records by entering and updating leave and accommodation data in designated systems and spreadsheets. Ensure timely documentation, tracking of key dates, and communication with stakeholders. Coordinate leave record-keeping with the Payroll team.
+ Administer the donated sick leave program, ensuring compliance and transparency.
Communication and Training
+ Communicate leave rights, responsibilities, and options to employees in a timely and clear manner.
+ Design and deliver training sessions for hiring authorities, managers, supervisors, HR representatives, and administrative staff.
+ Utilize excellent interpersonal, listening, and written/verbal communication skills to effectively engage with colleagues, managers, and employees across the university.
Collaboration and Policy Development
+ Exercise independent judgment and discretion while working both independently and collaboratively in a team environment.
+ Participate in campus advisory boards and committees, contributing to the development of policies and guidelines.
Required Qualifications – Experience, Education, Knowledge & Skills
1. Education and Experience: Substantial relevant experience, certification in human resources or bachelor’s degree in human resources (or related field) or equivalent education and experience.
2. Human Resources Knowledge and Application: Demonstrated experience and application of human resources concepts, principles, and practices.
3. Employment Law: Proven experience and knowledge of relevant employment law, including ADA , FMLA , PWFA , and Workers’ Compensation.
4. Communication Skills: Excellent interpersonal, verbal, and written communication skills.
5. Confidentiality and Discretion: Demonstrated experience maintaining a high level of confidentiality and exercising discretion.
6. Analytical Skills: Demonstrated experience gathering and compiling information to analyze or evaluate to solve complex matters.
7. Organizational Skills: Strong organizational skills with the ability to manage multiple cases and deadlines simultaneously.
8. Software Proficiency: Proficiency in standard office computer systems and software, such as the Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Preferred Qualifications – Experience, Education, Knowledge & Skills
1. 2-4 years of experience with direct responsibility for ADA and/or leave administration.
2. ADA Certification or Certification from either SHRM , HRCI , or other industry equivalent
3. Demonstrated experience delivering training and presenting to small and large groups.
