    We create a diverse network of arts champions throughout Idaho by bringing stakeholders together for conversation, collaboration, and creative visioning. We convene local and regional gatherings for artists and arts administrators, provide grants and technical assistance to arts and cultural organizations, and facilitate capacity building in communities to support arts jobs and businesses. We know that students with an education bolstered by the arts have higher GPA’s, better test scores, and lower drop-out rates. Arts Idaho makes arts education a priority.

    Responsibilities:

    The Operations Specialist reports to the Chief Operating Officer and works in collaboration with the Operations Analyst to support administrative, clerical and financial operations, grant workflow and data management. The Operations Specialist engages constituents and works with staff to maintain competent and efficient procedures. The role requires excellent customer service skills, works well with a team, is focused on the accuracy of detailed and complex information and processes, and is highly organized.

     

    + Primary clerical and administrative support for agency business operations division

    + Initial point of contact for constituents

    + Maintains communications that promote administrative and clerical workflows

    + Support staff for meetings, trainings

    + Employs a working knowledge of the State enterprise system, agency records and database systems; enters, processes, updates, maintains and retrieves data

    + Provides technical assistance and solutions to staff and constituents interfacing with state and agency information systems

    + Assists with staff technology hardware and software needs

    + Online grants management system administration

    + Supports the life cycle of grants, including application process, meetings, payments, constituent communication, internal and external reporting

    Minimum Qualifications:

    + Some knowledge of management practices; program or project planning and implementation.

    + Experience developing and evaluating policies and procedures.

    MQ Specialties:

    + Experience utilizing problem solving strategies as a responsibility of the job; compiling and analyzing information and/or data and writing reports and/or correspondence in a work setting; ; providing customer service; leading or facilitating teams or groups; collaborating with other business units, agencies, or organizations; technical writing and communication strategies; advanced computer skills as identified by the appointing authority (such as web development, Front Page, Publisher, InDesign, Dream Weaver, etc); interpreting and applying contracts; explaining technical program related policies and procedures; reviewing documents for accuracy, completeness and compliance.

    + Experience developing and evaluating policies, procedures, training and presentation materials; reviewing documents for accuracy, completeness, and compliance.

    + Experience developing complex spreadsheets and performing mathematical calculations.

    + Experience using database management systems for tracking and reporting; presenting information, both verbally and in writing, to both technically and non-technically oriented audiences; assessing training needs and evaluating courses and instructors to meet those needs.
