    The Contracts Manager plays a critical role in the administration and oversight of contract-related processes for the organization. This includes handling vendor agreements, government programs, employment-related contracts, and insurance carrier arrangements. The position ensures that contracts are reviewed, organized, tracked, and processed efficiently and compliantly, supporting internal departments and maintaining alignment with regulatory and funding requirements. A high level of attention to detail, strong organizational and legal filing skills, and knowledge of nonprofit operations, California laws, and grant compliance regulations are essential.

    Responsibilities

    + Review, track, and process vendor, employment, independent contractor, government programs, and insurance carrier agreements according to organizational policies and regulatory requirements.

    + Maintain a centralized electronic and physical filing system for all contracts, ensuring proper version control, accessibility, and confidentiality.

    + Monitor contract renewal dates, expirations, and key performance indicators; coordinate with appropriate departments for timely renewals or modifications.

    + Ensure all contracts are compliant with applicable California nonprofit law, federal grant requirements, and internal procurement and HR procedures.

    + Assist in preparing contract templates, addenda, amendments, and board-approved agreements with a focus on legal and compliance language.

    + Coordinate with funders and vendors to support contract reviews and secure required documentation, signatures, and certifications.

    + Support the Finance, HR, and Compliance departments in aligning contractual obligations with grant terms and budgetary limits.

    + Prepare summaries, contract logs, reports, and tracking spreadsheets for leadership and board review.

    + Attend cross-departmental meetings related to contracts, risk management, and compliance; provide updates and recommend process improvements.

    + Monitor and maintain documentation needed for audits, grant reports, and regulatory filings related to contracting.

    Essential Skills

    + Minimum 3 years of experience in contract administration, legal secretary, paralegal, grants administration, or nonprofit compliance support.

    + Working knowledge of contracts, drafting contract language, and general legal terminology.

    + Familiarity with federal and state government programs, audit practices, and nonprofit procurement standards.

    + Strong attention to detail and accuracy in document handling and review.

    + High-level proficiency in Microsoft Office Suite, Adobe Acrobat, and contract management systems (e.g., DocuSign, SharePoint, or equivalent).

    + Strong organizational, analytical, and time management skills with the ability to manage multiple priorities.

    + Excellent verbal and written communication skills.

    + Ability to handle confidential information with discretion and professionalism.

    + Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.

    + Commitment to HIPAA and ability to abide by standards of professional ethics and maintain confidentiality.

     

    Additional Skills & Qualifications

     

    + Bachelor’s degree or Paralegal Certificate preferred.

    The work schedule is in-office from 8am to 5pm.     Pay and Benefits

    The pay range for this position is $101000.00 - $101000.00/yr.
