    Job Summary

    The Administrative Assistant to the Vice Presidents, is responsible for a variety of administrative support functions to assist the Vice Presidents (Academics, Finance, Operations, Economic Development). This includes customer service to the internal and external stakeholders by determining the nature of client's business and providing appropriate information and assistance. Duties include:

     

    1. Performs and completes a variety of tasks and assignments associated with support functions for Vice Presidents while exercising discretion to maintain confidentiality of records, files and other documentation;

    2. Monitors use of and maintains supplies, equipment and/or facilities for assigned department;

     

    5%

     

    3. Enters data from forms, records, reports and/or other sources into computer for purposes such as maintaining databases. Uses complex software (E.g. database, spreadsheet, and graphics) as a tool for performing clerical assignments. Completes incidental word processing assignments, such as creating routine documents, performing mail merges, creating lables, and etc.;

    4. Coordinates meetings and management activities;

    5. Performs and completes administrative tasks and assignments which may include budget, procurement, contracts, inventory control, personnel, safety, records, etc.;

    6. Directs and supervises clerical interns and/or work study students assigned to the department;

    7. Participates in special projects and committees as directed by the supervisor; works to find novel solutions when challenges arise,

    8. Assists with reception duties at the front desk area when needed;

    9. Provides assistance with conference center coverage/needs; and

    Position Type/Expected Hours of Work

    This is a benefited, full-time position. This position occasionally requires longer hours and some weekend work.

    Required Education and Experience

    + Bachelor’s degree in a related field *and * One (1) year of work related experience *OR* Associate Degree in Business Administrative Technology *and* Two (2) years of work related experience. **** Note: Experience may substitute for the degree on a year-for-year basis. .

    + Must be skilled in the use of Microsoft Office software (Word, Excel, Outlook)

    Preferred Qualifications

    + Work experience in an educational or business setting;

    + Experience in using the Banner student records management system;

    + Excellent customer service, clerical, and technological skills.

    + Excellent written communication skills

    Competencies

    + Skill in customer service, interpersonal relations and serving the public;

    + Advanced skills in computers and job related software;

    + Skill in basic conflict resolution;

    + Skill in oral and written communication;

    + Knowledge of modern office practices and procedures;

    + Ability to operate workroom machinery such as copiers, scanners, shredders, fax machines, etc.;

    + Ability to prioritize and schedule tasks to meet deadlines and objectives.

     

    Travel

     

    Travel to other campus locations is possible.

     

    Supervisory Responsibility

     

    Supervise work study students/interns as needed.

    Work Environment

    This job operates in a professional office environment, routinely uses standard office equipment and technologies, and requires business attire and professionalism. Typical working hours include Monday – Thursday 8 am – 6 pm and Fridays 8 am – noon. Occasional evening or weekend hours, as needed.

    Physical Demands

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 25 pounds.
