    Job Summary

    The Scotland Physicians Network (SPN) Coordinator plays a key role in supporting the administrative and operational functions of the physician network. This position is responsible for coordinating leadership council meetings, ensuring compliance documentation is accurate and up to date, assisting with physician recruitment and onboarding, and overseeing care coordination reporting. The SPN Coordinator also provides direct administrative support to the Executive Director of Physician Services & Network Operations, ensuring efficient scheduling, document preparation, and communication across the network. This role requires strong organizational skills, professionalism, and the ability to collaborate effectively with physicians, leaders, and staff.

    Qualifications

    - Minimum of an Associate’s degree or equivalent experience in healthcare administration, medical office management, or a related field. - Prior administrative or medical office experience required. - Strong communication skills (both verbal and written) with the ability to interact effectively across all levels of the organization. - Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and comfort with other administrative/technical tools. - Highly professional presence with excellent organizational skills and attention to detail. - Ability to work flexible hours to support occasional after-hours or weekend events. - Demonstrated ability to handle confidential information with discretion.

    Position Overview

    The SPN Coordinator is responsible for ensuring smooth and efficient administrative operations across all aspects of the Scotland Physicians Network. This role supports physician recruitment and retention, medical staff services, compliance coordination, meeting facilitation, and executive-level administrative support. The Coordinator plays a critical role in fostering communication and alignment between physicians, network leadership, and administration while ensuring compliance with organizational, state, and federal requirements.

    Key Responsibilities

    1. Administrative Leadership

     

    - Prepare, facilitate, and oversee Scotland Physicians Network Leadership Council meetings and executive sessions. - Develop agendas, minutes, corporate filings, and follow-up documentation to ensure compliance. - Complete and maintain physician network scorecards and roadmaps. - Support steering committee preparation, agendas, and minutes; ensure documents are filed appropriately. - Assist with follow-up items from meeting minutes and administrative requests from leadership.

     

    2. Recruitment & Retention

     

    - Assist with physician and advanced practice provider recruitment and onboarding. - Coordinate onboarding agendas, site tours, and leadership introductions. - Support executive-level initiatives for recruitment and retention as directed.

     

    3. Care Coordination Oversight

     

    - Support the centralized referral area by monitoring standard workflows. - Create monthly care coordination/referral compliance summaries for review by leadership. - Provide on-site feedback and support to referral associates to ensure process consistency.

     

    4. Executive Administrative Support

     

    - Manage calendars for the Executive Director of Physician Services & Network Operations. - Coordinate readings, prepare administrative documents, and ensure compliance files are maintained. - File corporate and compliance-related documents (e.g., board meetings, Medicare approvals, quality and steering committee records).

     

    5. Additional Responsibilities

     

    - Assist with medical staff housing coordination and related lease property tasks. - Support preparation and execution of physician network events. - Ensure appropriate recognition and gifts (within budget) for providers and support staff.

     

    -Other duties as assigned

     

    -Adherence to SPN and SHCS policies and procedures - Provide flexible support for other duties as assigned by the Executive Director.
