    About the Role

     

    We are seeking aManager of Dental Operations (Practice Manager) to join our team. This role is critical in ensuring the smooth and efficient functioning of our dental services, with oversight of administrative workflows, scheduling, billing, and patient access. Reporting directly to the Director of Dentistry, the Manager of Dental Operations will supervise dental administrative staff, optimize workflows, foster a patient-centered environment, and support compliance with health and safety regulations.

    Key Responsibilities

    Administrative & Operational Oversight

     

    + Manage all administrative support aspects of dental services, including patient pre-screening, treatment planning, front desk operations, referrals, and billing procedures.

    + Oversee provider scheduling, templates, and rescheduling processes to minimize disruptions in care.

    + Prepare and monitor KPIs including revenue per visit, utilization, broken appointments, and patient access metrics; oversee Epic reporting.

    + Collaborate with Patient Accounts and Finance to ensure efficient collection of revenue and compliance with insurance requirements.

    + Coordinate ordering of supplies, lab services, and vendor contracts, ensuring fiscal responsibility and cost-effectiveness.

    + Support budgeting, forecasting, and cost-control strategies with the Director of Dentistry.

     

    Patient Experience & Access

     

    + Develop and implement patient-centered initiatives such as recall systems, MyChart usage, and pre-check-in workflows.

    + Monitor no-show, utilization, and wait-time reports; implement strategies to enhance patient access and case completion.

    + Resolve patient service concerns in accordance with organizational policies and dental board standards.

     

    Team Leadership & Supervision

     

    + Supervise dental administrative staff, resolve conflicts, provide coaching, and foster a positive and equitable work environment.

    + Conduct performance reviews, provide constructive feedback, and support staff development.

    + Oversee hiring, onboarding, and training of new staff.

    + Lead operational initiatives tied to organizational priorities, including service expansion and technology rollouts.

     

    Compliance & Quality Improvement

     

    + Participate in Performance Improvement Projects and departmental work groups to strengthen care delivery.

     

    Collaboration & Communication

     

    + Work closely with the Director of Dentistry and Health Center Director – Chelsea to optimize workflows and site operations.

    + Maintain strong communication with staff, including managers and union representatives.

    + Prepare documents, meeting minutes, and presentations; coordinate departmental meetings and trainings.

    + Serve as Administrator on Duty (AOD), including some evening shifts.

     

    Work Schedule

     

    Callen-Lorde's main site in Chelsea is open Monday through Saturday. The dental clinic is currently open Monday through Friday; Saturdays may become required in the future, as are early morning and late evening shifts as needed.

    Qualifications

    + Associate’s or Bachelor’s degree required.

    + Minimum 3 years of practice management experience in the dental or healthcare industry required.

    + Minimum 3 years supervisory experience, with demonstrated skills in coaching, mentoring, and leading/building a team is required.

    + Knowledge of Medicaid/Managed Care, Medicare, HIPAA, ADA compliance, and state health regulations.

    + Proficiency in dental/healthcare software (Epic, Dentrix) and advanced Excel reporting/analysis.

    + Strong leadership, conflict resolution, and interpersonal communication skills.

    + Ability to manage multiple priorities in a dynamic, fast-paced environment.

    + Prior experience in a social services, nonprofit, or community healthcare setting preferred.

    + Ability to interpret appointment utilization and analyze trends/reports, etc.
