Definition
Under general direction, is responsible for the management of office operations and the supervision of a clerical support staff; performs related duties as required.
Examples of Work

+ Oversees the daily clerical support activities of a division or department office; assigns and monitors workloads; coordinates staffing to provide coverage and meet applicable work deadlines; evaluates subordinate employee leave requests;
+ Composes routine correspondence for own signature and important correspondence for signature of superior; supervises the preparation of a variety of periodic reports; oversees the maintenance of files and filing systems;
+ Reviews the work of subordinates for completeness and accuracy;
+ Conducts performance appraisals of subordinate employees consistent with applicable collective bargaining agreements and organizational policies; recommends salary increases when appropriate and applicable;
+ Organizes and develops work routines such as the processing of personnel transactions, work orders, and purchase requisitions; recommends policies and procedures affecting office operations;
+ Maintains record of appropriation balances; assists in the preparation of annual budget and report;
+ Serves as a division/department representative by acting as a liaison with other divisions/departments and agencies;
+ Develops accounting routines; installs cost accounting procedures; analyzes work processes for the purpose of reducing costs;
+ May conduct information or orientation sessions with new or existing employees regarding compensation, benefits, and organizational policies and procedures;
+ May supervise the maintenance of inventories of equipment, materials and supplies; may supervise the maintenance of a petty cash fund and records of disbursements;
+ May oversee and maintain electronic identification and/or timekeeping systems.
Minimum Qualifications
Completion of the twelfth school grade and five (5) years of experience in general office work. Substitution(s): A certificate of high school equivalence (GED) will be accepted in lieu of the twelfth school grade requirement. College training may be substituted for up to four (4) years of the required experience on a year-for-year basis (30 semester/45 quarter credit hours equals one year).
Some positions may require possession of a valid driver’s license.

QUALIFYING NONCOMPETITIVE EXAMINATION ANNOUNCEMENT: The names of the applicants passing this administration of this exam will be used to create aNEW, NONCOMPETITIVE, eligible list, and willreplacethe names of applicants on the current eligible list. If you are interested in having your name included on the new eligible list, you will need to apply for this exam within the filing period and successfully complete all phases of the testing process. The examination process will consist of a computerized exam weighted 100% covering Planning and Organizing, Supervision, Reading Comprehension, Logic and Reasoning, Problem Sensitivity, and 2019/2021 Microsoft Word, Outlook, and Excel.
Approved applicants will be notified by mail/email of their scheduled test date and time.
All applicants must complete all phases of the testing process in order to receive a final score. The names of all candidates who pass this examination will remain on the eligible list for two years, unless the eligible list is replaced prior to or extended beyond the two years. If a candidate's name is certified and the candidate is to be considered for employment, the hiring process will include one or more interviews, a criminal background check, and a pre-employment drug test.
