    Job Description

Note: Candidates must be serving permanently in the civil service title of Clerical Associate.

The Fire Department of the City of New York (FDNY) is the largest Fire Department in the United States and universally is recognized as the world's busiest and most highly skilled emergency response agency. The Department's main goal is to provide fire protection, emergency medical care, and other critical public safety services to residents and visitors in the five boroughs. FDNY members are sworn to serve and protect life and property and the Department works to continually educate the public in fire, life safety and disaster preparedness, along with enforcing public safety codes. Since its inception in 1865, FDNY has helped lead efforts to make New York the safest big city in the nation. This accomplishment requires a steadfast and daily commitment to maintaining the Department's core values.

The Fire Department, City of New York (FDNY), seeks a full-time Clerical Associate in the Records Management Unit of the Bureau of Legal Affairs. Reporting directly to the Records Management Officer and assisting both the General Law Unit and the Court Desk, the successful candidate will primarily help ensure the timely location of records in response to subpoenas and ongoing litigation. Responsibilities and tasks include but are not limited to: monitoring email inboxes to ensure prompt receipt of requests; contacting employees and other FDNY units as necessary to gather all records sought; reviewing documents and flagging privacy or HIPAA issues for the Records Management Officer; immediately notifying the Records Management Officer of any issues with locating records. The position requires providing a courteous and professional demeanor to private law offices, FDNY employees, the New York City Law Department and other city/state agencies such as the Office of the Chief Medical Examiner (OCME) and District Attorney’s Offices, as well as federal agencies. Although assisting other FDNY legal units and the Records Management Officer, the Clerical Associate will be expected to work independently and may serve as a point of contact for parties requesting records. Additionally, the Clerical Associate will ensure compliance with FDNY records access policies, HIPAA, and other privacy laws governing records disclosure.
