Description

Our client is looking for a Proposals Specialist to manage a detailed initiative around researching and documenting approval status for client logos. In this long-term contract position, you will oversee the thorough review and documentation of client logo usage to ensure compliance with legal and branding standards. Your work will play a critical role in enabling seamless integration of approved logos into marketing and proposal materials.

Responsibilities:

• Analyze legal documents, including engagement letters and outside counsel guidelines, to identify logo usage permissions and restrictions.

• Collaborate with internal client leads to address unclear or incomplete documentation and secure necessary approvals.

• Source and update client logos from reliable platforms, ensuring proper formatting and compatibility with marketing templates.

• Maintain an organized file structure for logos and supporting documentation, enabling efficient retrieval and updates.

• Create and manage a centralized spreadsheet to track approval statuses, restrictions, and relevant supporting documents.

• Update SharePoint repositories with formatted logos ready for integration into dynamic templates.

• Enhance Foundation profiles by incorporating accurate logo usage permissions and compliance statuses.

• Coordinate with clients directly when additional approval or clarification is required.

• Ensure all marketing materials adhere to high standards and legal guidelines.

• Communicate effectively with multiple stakeholders to manage a time-intensive, process-driven project.

Time Zone: Pacific, Mountain, or Central

Hours: 40/week, Monday through Friday

Length: Contract, approximately 6 months

Requirements

• Minimum of 3 years of experience in proposal coordination or a related field.

• Strong organizational skills with exceptional attention to detail.

• Proficiency in Microsoft PowerPoint, Excel, and SharePoint.

• Ability to interpret and analyze legal documents, such as engagement letters and outside counsel guidelines.

• Familiarity with Foundation software is preferred.

• Basic design skills, including proficiency in resizing and formatting logos using tools like Photoshop.

• Proven ability to manage complex projects involving multiple stakeholders and tight deadlines.

• Excellent communication skills for effective client and team collaboration.
