    Position Summary

    The Research Administrative Coordinator (RAC) is a highly motivated, organized, and communicative individual who provides high-level, detailed administrative support for the ECS research and royalty portfolio.

     

    The RAC manages all stages of research administration, from pre-award proposal development and submission to post-award financial reporting and closeout. This includes working closely with principal investigators, managing deadlines, forecasting expenses, and reconciling financial reports.

     

    The RAC uses COGNOS, Banner, Excel, and Smartsheet to maintain ledgers for various funds. The position evaluates the need for and establishes purchase orders, contracts, and subawards. They approve payments for invoices, vouchers, and travel reimbursements, while ensuring accuracy and audit compliance. The RAC develops and applies comprehensive knowledge of university and federal grant policies, communicating regularly with faculty, staff, students, and external partners.

     

    The RAC provides lead work for and backs up other members of the ECS Business Operations team. This role requires the consistent use of independent judgment, professional sensitivity, and confidentiality. The RAC reports directly to the ECS Business Manager and plays an essential role on the ECS team.

    Minimum Requirements

    • Bachelor's degree in finance, accounting, or other related field OR an equivalent combination of education and experience.

    • Two years of experience in research administration, grant management, or a closely related administrative or financial role.

    • Experience with financial tracking, budget reconciliation, or account management.

    • One year of experience in developing, editing, and reviewing proposals, budgets, grants, and/or contracts for adherence to state and federal regulations.

    Professional Competencies

    • Demonstrated delivery of complete and compliant grant projects by managing all deadlines and budgets effectively.

    • Ability to resolve complex regulatory questions and challenges with sound judgment, ensuring compliance.

    • Ability to foster positive and effective relationships with a wide range of stakeholders, both independently and collaboratively.

    • Ability to leverage strong analytical skills and financial system proficiency to maintain accurate and auditable financial and administrative records.

    Preferred Qualifications

    • Experience working in Higher Education Research Administration.

    • Experience with grant management software (e.g., grants.gov, G5.gov or Research.gov).

    • Advanced degree in Research Administration, Business Administration, Management, Public Administration, or a closely-related field, or relevant professional certifications (e.g., CRA, CPRA, CFRA).

    • Five or more years of experience in business or research administration, including grant development, editing, review, and compliance with regulations.
